JOB DESCRIPTION
TITLE: Transportation Clerical
REPORTS TO: Director of Transportation
SUPERVISES: N/A
TERM: 12 months
JOB GOAL:
To provide efficient and accurate clerical and administrative support to the Transportation Department by maintaining organized records facilitating communication processing documentation and ensuring compliance with district and governmental requirements thereby contributing to the safe and effective operation of student transportation services.
EDUCATION AND EXPERIENCE:
The ability to carry out oral and written directions; write and speak at a level sufficient to fulfill the duties to be performed for the position described; two years of clerical and secretarial work of a responsible nature requiring frequent contact with the public preferably in a school district. High School Diploma or GED required.
QUALIFICATIONS AND TRAINING:
- Demonstrated ability to maintain confidentiality and discretion in handling sensitive information.
- High school diploma or GED required Associates or Bachelors degree preferred.
- Strong communication interpersonal and organizational skills.
- Ability to remain calm patient and consistent in a structured disciplinary environment.
- Basic computer skills for record-keeping and communication.
- May involve prolonged periods of sitting or standing.
- Requires regular interaction with transportation staff parents and administrators.
- Knowledge of office methods and practices including filing systems.
- Knowledge of receptionist and telephone techniques.
- Knowledge of business letter and report writing using general computer skills in word
- Ability to operate a variety of office equipment including adding machine computer
- duplicating and communications equipment.
- Ability to use computer processing software programs inventory software programs
Email general accounting principles and software programs.
- Knowledge of intermediate to advanced elements of correct English usage spelling grammar punctuation and vocabulary.
- Ability to perform responsible clerical work requiring independent judgment with speed
and accuracy.
- Ability to take responsibility for the preparation of reports and documents; make mathematical calculations with accuracy spreadsheets and general communication.
- Comfortable using technology and web-based tools including the ability to access and search the internet efficiently.
- Familiar with Microsoft Office Suite (Word Excel Outlook PowerPoint).
PERFORMANCE RESPONSIBILITIES:
- Serves as a receptionist takes messages answers inquiries and makes referrals to proper department or individuals in a friendly positive manner.
- Types and/or composes correspondence and memos independently or as directed.
- Attends all staff meetings and is responsible for documenting/taking notes at all meetings.
- Processes all purchase orders payroll and reports/agreements/documents relating to transportation.
- Maintains files and filing systems; prepares confidential reports.
- Orders office supplies as needed.
- Composes and orders forms as needed by the department.
- Keeps records/files as required by local County State and Federal agencies.
- Responsible for typing all documents required for soliciting of services/products for the department.
- Assists customers in filling transportation forms including field trips district vehicle and vehicle repair requests.
- Maintains records of employee absences using the district software.
- Maintains bus transportation discipline records. Keeps accurate disciplinary records in order to support schools with ensuring proper follow-up.
- Maintains regular and prompt attendance in the workplace.
- May on occasion perform other operational related clerical duties as required by the Executive Director of Operations.

- Performance of this job will be evaluated in accordance with provisions of the Boards policy on evaluation of personnel.
