Summary of Position
Our client is a Tulsa based medical dermatology practice seeking a Practice Manager. You will support doctor/physician assistants and patients through a variety of tasks related to patient care management organization documentation and communication. The target is to complete all activities accurately with high quality and in a timely manner.
The Practice Manager is responsible for ensuring optimal efficient management of the clinic to maintain and elevate Midtown Dermatology as an exceptional dermatologic care provider. The Practice Manager role has 3 main tenants: People governance financial oversight and day to day operational management. This role is designed to be most successful via appropriate delegation and utilization of staff including use of Office Administrator. This is a salaried full-time position Monday to Friday requiring 40 hours per week.
Key Responsibilities
People Governance
- Create and foster a team environment that promotes personal responsibility and excellence
- Oversee recruitment and onboarding of new employees
- Direct team leads to supervise mentor and train new and current staff
- Supervise payroll and benefits including timekeeping review and time off requests
- Review staffing and address redundancies or weaknesses in organizational structure to ensure appropriate and efficient use of personnel including review of compensation
- Oversee daily weekly and monthly schedules of staff and providers to maximize productivity and efficiency (with team leads if applicable)
- Plan and direct monthly all-staff meetings
- Ensure up-to-date appropriate licensure credentialing and insurance for providers and employees supported by Office Administrator
- Review company insurance needs including employee benefits at least annually
- Meet regularly with team leads and special roles (i.e. OSHA) to ensure performance and compliance
- Schedule organize and document annual employee reviews and employee disciplinary action
- With support from Office Administrator update Employee Handbook annually
- Follow appropriate legal and human resources standards including record keeping of personnel documents
- Provide weekly updates for owners via memo and/or email and monthly in-person updates
Financial Oversight
- Ensure prompt payment of debts with support of Office Administrator
- Collaborate with accounting company and ensure delivery of accurate timely reports
- Develop and implement a clinic budget including reconciliation of bank and credit card statements and authorization of purchases
- Oversee efficiency and success of billing company including overview of A/R payment allocation and collections
- Ensure in-office day of service patient payments
- Perform review of expenses and inquire about vendor discounts at least annually to decrease unnecessary expenditures and prevent overhead creep
- Suggest and implement new ideas of revenue generation
Day to day Operational Management
- Develop implement and maintain office policies workflow and procedures ensuring adherence to best practices
- Oversee provider schedules to ensure maximum patient access resolve schedule conflicts and troubleshoot inefficiencies
- Anticipate assess and troubleshoot operational issues and implement solutions
- Address and resolve patient complaints that have not been able to be resolved by other personnel
- Ensure available and/or working office and medical equipment supplies and inventory either directly or via delegation
- Coordinate and/or delegate coordination with external vendors for software access equipment maintenance and facility upkeep including but not limited to IT support electronic health record building management and cleaning services
- Actively engage and develop practice improvement initiatives to solidify Midtown Dermatologys presence as a premier dermatology provider
