General

  • Delivery of highest on site standards within budget.
  • Customer (Tenant) satisfaction and retention
  • Administrative accounting and accurate financial reporting detail.
  • Health & Safety
  • Relationships with local authorities and key stakeholders
  • Optimising net rental income and responsible cost control.

Principal

  • To drive the financial performance of the property and ensure operational excellence.
  • To drive footfall and sales turnover of the centre
  • To promote and market the centre and the brand effectively.

Account Reporting

  • To provide input to the finance team to ensure accurate and timely compilation of accounting income and expenditure data for the presentation of reports and documentation.

Customer Relations

  • To ensure response are provided to all customer complaints in a timely and efficient manner. To ensure that all situations are given the necessary degree of attention and immediacy to satisfactorily resolve the problem or incident.

Contractors and Suppliers

  • To ensure the appropriate management and control of all contract staff to include all approvals of hours of working staffing levels and rotas.
  • The Manager will not enter into any legal agreements with tenants suppliers or any third part of any nature.

Tenants Relations

  • The Manager will foster close and professional relations with all tenants and customers and provide assistance whenever necessary to resolve problems and answer queries and achieve high levels of customer satisfaction.

Tenant and other Meetings

The Manager will organize and chair regular tenant meetings.

Additionally the Property Manager will support business in the development of new initiatives and participation in the wider business and public community.

Procurement Invoice coding and approval

  • To be responsible for ensuring that all invoices within the operating budget authority levels are presented and approved at the property coded to the appropriate expense code and approved within correct authority levels.

Training and staff conduct

  • To assist with the review and maintenance of all records of staff training and development including preparation and implementation of training programs for all site staff. To ensure all site staff conduct themselves in a professional manner and act in accordance with the designated codes of conduct.

Financial Control

  • The Manager will have constant regard for value for money with all expenditure and constantly strive to achieve cost savings whilst improving quality of services. Look for and consider alternative methods of procurement including renting leasing spreading costs refurbishment and sponsorship etc.

Operating Budgets

  • To prepare the draft of the annual operating budget for presentation to the Commercial Manger in line with approved time frames. The operating budget will break down all of the total expenditure into an item by item budget. It will highlight costs which can be recovered through the service charge and costs. The budget will include anticipated rental income. The draft budget will be submitted to the Manager for approval.
  • Jointly with the General Accountant to prepare accurate quarterly and annual operating budget reconciliations of income and expenditure within specified time frames for presentation to the tenants.

Communications

To report on a monthly basis to Line Manager on KPISs and immediately on any significant incidents

The Manager will lead the on-site property team ensuring that all members are kept appropriately informed of current and future activities and projects taking place in the property.

The Manager will work closely with senior management staff and professional advisers throughout the development of all stages of the project.

The Manager will also ensure that the Property Manager is informed of any issues that could have a material impact on the property.

To promote/represent the property (as appropriate) to external organizations including the local authority and other key stakeholders.

Health & Safety And Environmental

Directing all relevant parties so that they are in compliance with all Health & Safety and environmental legislation and regulations adhering to procedures laid down and working towards stated targets.

To be familiar with local health safety welfare fire and environmental arrangements.

Leasing

To assist the letting agents and other professionals / representatives appointed or representing the property in the initial lease up period. This may include providing plans communicating data co-ordinating the site visits assessing drawings / alterations proposals entertaining prospective tenants providing data and undertaking any other reasonable tasks deemed necessary from time to time and as required in order to achieve the initial leasing strategy objectives.

To take the lead on subsequent releasing of any vacant office accommodation in the property. Working with any appointed leasing agents lawyers fit out contractors to ensure leasing enquiries are efficiently progressed and vacant space is leased in accordance with any commercial requirements.
