Job Title: School Secretary Elementary/Upper Elementary Lead - TEMPORARY
POSITION SUMMARY
The primary purpose of this position is to provide secretarial support to school-site principal and other administrators and to oversee the office activities in support of the services provided to students parents instructional and support employees. The School Secretary Elementary/Upper Elementary Lead reports to the principal or designee and does not supervise others.
ESSENTIAL RESPONSIBILITIES
- Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
- Responds to inquiries from a variety of internal and external parties by phone email letter and/or in person (i.e. staff parents students public agencies etc.).
- Orients new site personnel (i.e. substitutes and staff as required) regarding appropriate school and district practices.
- Coordinates a variety of programs and/or activities (i.e. task assignments meetings classroom and site staff coverage building usage building in-service day activities workshops travel and accommodations graduation activities etc.) for the purpose of ensuring availability of facilities and/or equipment and delivering services in conformance to established guidelines.
- Compiles data and generate reports from a variety of sources (i.e. payroll honor roll attendance etc.) for the purpose of complying with financial legal and/or administrative requirements
- Maintains documents files and records (i.e. administrative records building personnel records student files etc.) for the purpose of providing up-to-date reference and audit trail for compliance
- Composes documents (i.e. standardized correspondence bulletins newsletters etc.)
- Prepares written materials (i.e. master schedules budgets reports memos letters etc.) for the purpose of documenting activities providing written reference and/or conveying information
- Monitors account balances and create purchase orders and various documentation i.e. account expenditures purchase order documentation etc.
- Coordinates site activities to ensure compliance with established financial legal and/or administrative requirements
- Processes documents and materials (i.e. building mail bulk mailings daily staff and student attendance time sheets grades purchase orders key loan facility use work orders etc.) for the purpose of disseminating information to appropriate parties for action
- Screens inquires of staff students parents the public etc. for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution
- Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
- Administers first aid and medication to students under the direction of health professionals
- Oversees volunteers for the purpose of ensuring appropriate procedures are followed
- Assists parents in communicating with the school when there is a possible language barrier (i.e. parent conferences enrollment procedures) asdirected by the building administrator
OTHER RESPONSIBILITIES
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities including serving as back up to main reception line.
- Maintains consistent and predictable attendance to meet the requirements of the position.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Experience: Prior job related experience paid or volunteer preferably in schools.
Skills: Operation of a computer standard office machines telephone and other technology equipment. Excellent interpersonal skills. Excellent oral and written communication including correct use of grammar punctuation and spelling. Excellent secretarial/clerical skills including typing filing organizing and basic arithmetic calculations.
Abilities: Work harmoniously with others. Work and communicate effectively with students parents and school personnel from diverse cultures or backgrounds in English Spanish or other languages related to the job. Work independently without supervision and with minimum oral/written instructions. Ability to sit and/or stand for prolonged periods understand and carry out oral and written instructions maintain confidentiality of student records meet schedules and deadlines read/interpret/apply rules regulations and policies.
Continuing Education/Training Clearances: Pre-employment criminal justice fingerprint clearance and criminal background check.
