Job Description

Position:Special Education Transportation Secretary/Secretary II

Location:Transportation

Position Type:M-F 9am-5:30pm/194 days per year

Bargaining Unit:Minnesota School Employees Association Secretarial/Administrative Assistants

FLSA Status:Non-Exempt

A special education transportation secretary is responsible for managing the administrative tasks related to the transportation of students with special needs including coordinating routes scheduling transportation maintaining student records communicating with parents and staff and ensuring compliance with special needs transportation regulations all while working closely with the school districts transportation department and special education team.

Key responsibilities may include:

  • Route planning and scheduling:
    • Creating and maintaining transportation schedules for special education students considering specific needs like medical equipment accessibility requirements and pick-up/drop-off locations.
    • Creating and monitoring schedule for van fleet
    • Coordinating with bus drivers and aides to ensure proper student placement on routes.
    • Making adjustments to routes based on changes in student needs or school schedules.
  • Student record management:
    • Maintaining detailed records of each special education students transportation needs including medical information required accommodations and any necessary documentation.
    • Updating student information as needed and ensuring accuracy of data.
  • Communication and coordination:
    • Communicating with parents/guardians regarding transportation arrangements updates and any concerns.
    • Collaborating with special education teachers and administrators to ensure transportation needs align with Individualized Education Plans (IEPs).
    • Liaising with the school transportation department to address any transportation issues.
  • Compliance and reporting:
    • Monitoring compliance with federal and state regulations regarding special needs transportation.
    • Generating reports on transportation usage student needs and any incidents.
    • Recording all Special Ed miles and shuttles for State Report
    • Maintaining documentation for audits and reviews.
  • Staff management:
    • Coordinating training for bus drivers and aides on proper handling of students with special needs.
    • Addressing any concerns regarding student safety and transportation practices.

Required skills:

  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills to interact with parents staff and transportation providers
  • Attention to detail to ensure accurate student information and compliance with regulations
  • Ability to work independently and as part of a team
  • Knowledge of special education needs and related transportation requirements
  • Proficiency with computer software for scheduling data management and report generation

Dispatch:

  • Monitor and dispatch buses and district vehicles by using 2 way radios in coordination with department and Dispatcher

General Secretarial:

  • Answer phones and provide information to staff bus drivers parents and students
  • Forward complaints and safety concerns
  • Take stop arm violation reports from bus drivers
  • Print field trip sheet assignments for drivers
  • Make copies of bills and receipts to be filed
  • Monitor completed field trip sheets for entry in TCP and enter manually if is missing
  • Adjust TCP entries for staff as requested
  • File and maintain driver records
  • Complete special projects and other duties as assigned by Transportation Director

Compensation: $22.30 per hour depending on qualifications and experience.
