Job Description

OFFICE MANAGER - PROFILES

GENERAL STATEMENT:

While this position specifies responsibilities requirements and duties in certain operational areas this person is an employee of Independent Living Services Inc. and will be expected to respond to such requests not specifically contained herein. This person must maintain the attitude that he/she works for the whole organization and as such exhibits proper cooperation enthusiasm and interest in all areas deemed necessary for the continuing success of the ILS programs. Knowledge of all policies and procedures of ILS and related corporations of Creative Living Inc. and Sheltered Living Services Inc. is required. Knowledge of agency services and support system is required.


JOB SUMMARY:

The Office Manager works under the direct supervision of the Day Services Program Coordinator. This position performs general office duties. They act as office receptionist by greeting and directing visitors screening calls and providing general information and assistance. Position will involve computer use of various programs i.e. Windows98/WordPerfect/Quattro Pro/Excel/Microsoft Word. They will perform related responsibilities as required or assigned. This position requires familiarity with ILS Policies and Procedures both business and program related. This person needs a general knowledge of services to people with developmental disabilities and knowledge of DDS policies.


JOB DUTIES AND RESPONSIBILITIES:

The Office Manager will perform general office duties at the Profiles:

  1. Perform General Office Duties.
    1. Receptionist: answers telephone and handles walk-in traffic when away from the phone or front makes sure someone else is covering phones and walk ins.
    2. Files/reports/assists in organizing all paperwork/documentation
    3. Copies materials as needed
    4. Inventories and orders supplies
    5. Contacts repairman to service office equipment
    6. Assists the Day Services Program Coordinator as needed
    7. Other duties as needed by Day Services Program Coordinator

  1. Basic Computer Skills
    1. Assists with data entry for data base/computer files etc.
    2. Assists with setting up and maintain spreadsheets

  • Duties relating to office management
    1. Opens Building Daily
    2. Schedules conference room and meetings
    3. Assists Services Program Coordinator with maintaining data bases and reports for all CARF and DDS requirements.
    4. Maintains daily attendance log
    5. Maintains records for billing
    6. Conduct and document all required emergency drills monthly and maintain a log
    7. Maintains housekeeping/Internal inspection log
    8. Coordinates and Purchases all supplies for Profiles Class Activities and Special Functions after they are approved by Day Services Program Coordinator.

  2. Participating in monthly evacuation drills and assuring consumers understand what to do during the drills.
  3. Participates in all staff meetings and staff trainings as required by Profiles and ILS.
  4. Maintains confidentiality of all information received regarding ILS and the confidentiality shall be in compliance with ILS non-disclosure policy.

QUALIFICATIONS:

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. EDUCATION AND EXPERIENCE

High School education or equivalent. Basic knowledge of general office skills i.e. typing filing calculator copy & fax machine.


MATHEMATICAL SKILLS

Ability to apply concepts such as fractions parentages ratios and proportions to practical situations.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job the employee occasionally work near moving mechanical parts and in outside weather conditions and is occasionally exposed to wet and/or humid conditions. The noise level in the work environment is usually moderate.
