Job Description

Geelong Grammar School is one of the worlds leading co-educational boarding and day schools. Toorak (approximately 320 students) is in Melbourne. It caters for day students from Early Learning to Year 6. After Year 6 most students proceed to Corio. The Toorak campus has approximately 50 full-time and part-time teaching and support staff.

The role is being offered on a permanent part-time basis.

This position is required for ten hours per week spread across three days during school term time only. Candidates must possess exceptional administration skills with a good understanding of musical terminology strong communication skills and an empathy for young people.

About the role:

The Arts Administrator is responsible for the following tasks:

  • Calculating payments for all sessional music staff for the Toorak campus

  • Calculating all student music charges including music purchases and equipment hire

  • Ordering musical instruments books and accessories

  • Assisting the Head of Music with the Music School budget and monitor throughout the year

  • Organising AMEB and TCL exams entries charges piano tuning examiners signage cab charges and ordering taxis for off-campus exams

  • Allocating students to sessional music staff in consultation with the Head of Music

  • Room timetabling/publishing of teacher timetables and other support for instrumental teachers

  • Responding to day-to-day enquiries from students parents and other members of theSchool community

  • Liaise with the Head of Music regarding correct processes and approval for expenditure of the department budget

  • Liaising with and foster an effective communication network with all relevant departments at the Toorak Campus ensuring the Office is kept updated on all Music matters

About you:

To be successful in this role you will need:

  • Relevant administration qualification and/or equivalent work experience in a similar administrative role

  • Proven experience in office administration ideally within a school arts of music education environment

  • Strong digital literacy including proficiency in Microsoft Office 365 (Word Excel Outlook Teams) and experience working with databases or cloud-based administration systems

  • Excellent communication skills both written and verbal with the ability to interact effectively with students parents teachers and school leadership

  • Experience handling budgets invoices and payment calculations
