Job Description

Job Summary

The Department Secretary provides essential administrative support to the Department of Secondary Education ensuring smooth daily operations and effective communication within the department and with external stakeholders. Responsibilities include managing correspondence scheduling meetings maintaining departmental records assisting faculty and students and supporting departmental events and academic processes. The ideal candidate is organized detail-oriented and proficient in office software with strong interpersonal skills to contribute to the departments mission of preparing future educators with innovative and research-based teaching practices.

Minimum Qualifications

  1. Technical Proficiency
    Demonstrated experience with Microsoft Office Suite (Word Excel PowerPoint Outlook Teams) Zoom and SharePoint with the ability to quickly learn and adapt to new platforms such as SAP TaskStream and PeopleSoft.
  2. Communication and Interpersonal Skills
    Exceptional written and verbal communication skills with a strong commitment to providing excellent customer service in a diverse and inclusive work environment.
  3. Organizational Excellence
    Highly organized dependable and efficient with the ability to manage multiple priorities meet deadlines and work independently with minimal supervision.
  4. Attention to Detail and Confidentiality
    Strong attention to detail and accuracy with the ability to handle sensitive information discreetly and maintain confidentiality of records and communications.
  5. Initiative and Adaptability
    Proven ability to take initiative solve problems proactively and adapt to changing needs and priorities in a dynamic academic setting.

Preferred Qualifications

  1. Student Information Systems Experience:
    Demonstrated experience with student enrollment management systems such as PeopleSoft.
  2. Teacher Education Program Knowledge:
    In-depth understanding of teacher education program requirements including the ability to maintain accurate and confidential student records aligned with certification standards.
  3. Faculty Support and Program Development:
    Proven ability to support faculty-led initiatives across undergraduate graduate and doctoral programs including recruitment retention curriculum development and event coordination.
  4. Educational Background:
    Bachelors degree from an accredited institution.

The starting salary for this position is $35306.00 based on the AFSCME Collective Bargaining Agreement.
