Senior External Relations Assistant

Organizational Setting and Work Relationships
The Senior External Relations Assistant normally functions under the direct supervision of External Relations Officer or another professional staff depending on staffing structure of the Office. The incumbent assists in the management of external relations activities of the Office. He/she plays a key role in organising the visits of foreign delegations donors press and media providing regular briefings and drafting reports/materials for external partners. He/she may also receive advice and operational support from the External Relations/Public Information Units at the Country Office /HQ.

All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities in line with the regulatory framework of UNHCR which includes the UN Charter UN Staff Regulations and Rules UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. In addition staff members are required to discharge their responsibilities in a manner consistent with the core functional cross-functional and managerial competencies and UNHCRs core values of professionalism integrity and respect for diversity.

Duties
- Draft briefing notes press releases bulletins reports newsletters and prepare any other public information material as required
- Facilitate and accompany visits of foreign delegations partner NGOs donors and the media to refugee camps
- Draft and translate routine correspondence and texts.
- Assist with developing and implementing UNHCRs social media strategy conceptualize and pitch stories for UNHCRs global website.
- Ensure that public information materials including fact sheets information brochures briefing materials from the Branch Office etc. are available.
- Organize visibility events (e.g. World Refugee Day) and liaise with partners refugees and local communities on implementation.
- May be required to assist in compilation of weekly monthly annual/quarterly thematic reports situations reports etc.
- Review media daily and ensure the office is kept informed of local developments.
- Provide information on UNHCRs activities to external partners.
- Respond to non-complex media queries and incoming correspondence.

- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks issues and concerns to a supervisor or to relevant functional colleague(s).
- Perform other related duties as required.

Desired Candidate Profile

The role of this position will be to primarily support the External Engagement Unit in fundraising and reporting functions.

The incumbent of this position will be expected to possess:
Prior experience working as part of a multi-functional team;
Thorough understanding of UNHCRs Protection mandate and its practical application across Greece;
Proven high quality drafting skills in English and in Greek including some translation;
Ability to develop project proposals to secure both government (e.g. EU) and other funding sources;
Ability to report on funding and project implementation;
Track record of compiling analysing and synthesising complex information from diverse sources into digestible reports for both internal and external consumption;
Ability to draft key messages talking points and briefing notes for senior management and HQ;
Ability to draft accurate responses to queries from the diplomatic community and other stakeholders;
Proven ability to engage and communicate with diverse audiences - ranging from refugee communities to authorities civil society and diplomatic counterparts;
Ability to organize diplomatic and partner briefings for the Office as well as facilitate donor missions;
Experience in supporting inter-agency coordination efforts;
Ability to monitor Greek media and government statements and summarize for Press Reviews for internal and external dissemination;
Ability to draft public information material in English and in Greek with a view to highlighting UNHCRs support to refugees in Greece;
Ability to work efficiently and within tight deadlines and show flexibility when there are shifting priorities;
Experience of working across different functional areas would be considered an advantage.

Currently some 142000 asylum-seekers and refugees are hosted in Greece. In 2024 some 62000 people arrived either by sea or land. UNHCR provides expert advice to the State and evidence-based information that helps inform programmes and policies for asylum-seekers and refugees. Access to international protection identifying durable solutions and support to vulnerable asylum-seekers and refugees such as unaccompanied children and survivors of gender-based violence are UNHCRs key also works with national and local authorities the private sector civil society and refugee communities to advance protection solutions and inclusion develop support networks and create employability and training opportunities for refugees. The Office retains a readiness to respond to emergencies and new arrivals with a focus on immediate support to the most vulnerable. UNHCR Greece plays a strong advocacy role since continued support is needed particularly from EU countries and EU institutions in providing immediate protection to those most at-risk through sufficient resources ensuring capacity in the country and responsibility-sharing. UNHCR will continue to assist Greek authorities in responding to both short and long-term challenges.

Position Specifications

This position combines external/donor relations fundraising reporting public information and inter-agency coordination and requires experience with UNHCR in these areas. The incumbent will report to the External Relations Officer within the External Engagement Unit and will work closely with all other members of the team as well as other colleagues from various functional areas.

Living and Working Conditions:

Athens is the capital and largest city of Greece. Athens is a family duty station classified as H by ICSC. Public Transportation and medical facilities are well-developed and easily accessible. The educational institutions at all levels as well as international schools are available. The climate can be described as Mediterranean with hot and dry summers and cool and mild winters.

In accordance with UNDSS security risk assessment the whole Greek operation is classified as Security Level 2 (low). Security Clearance is required for travelling in the country.
