About Gift Administration & Records Management

The department of Gift Administration and Records Management (GARM) is a key support component to the success of the broader Advancement unit. The GARM team works closely with Advancement Operations development officers and other Advancement team members partners in the Controllers office Internal Audit external auditors and other University units to manage donations to the University of Denver ensure entry and quality and maintain the database used to solicit and communicate with the constituent population.

Position Summary

We are seeking an Associate Director of Advancement Information Systems reporting to the Executive Director of Gift Policy and Advancement Information Systems to work collaboratively with a highly talented team and the Advancement division to create a best-in-class giving stewardship and engagement experience for our constituency. The ideal candidate has a passion for information organization and management process assessment improvement and documentation and maintains excellent customer service to both our internal and external partners while exhibiting excellent time management and organizational skills partnered with a high level of attention to detail.

Essential Functions

Information Management & Data Integrity

  • Works independently and as a part of a team to actively improve the quality and effectiveness of the Advancement database (currently CRM Advance).
  • Analyzes data for accuracy and completeness. Develops and deploys procedures that maintain and enhance data on alumni and donors in the Advancement database including the document imaging system.
  • Responsible for the establishment of reports and quality control mechanisms to monitor data integrity database changes address accuracy and interrelationships of data.
  • Utilizes appropriate CRM tools to execute data projects in a timely and accurate manner including the import export and manipulation of large amounts of information.
  • Maps workflows and evaluates opportunities for improved systems integration.
  • Utilize SQL and advanced data management tools to analyze data structure and cleanliness.
  • Advise on best practices usability and business cases for CRM customizations.
  • Collaborate closely with Strategic Analytics and Prospect Development partners to identify data and reporting issues.
  • Work with stakeholders on expanding the use of the CRM adapting processes and developing strategy to capture new information and improve operational efficiency of Advancement.
  • Work with gifts and records specialists under the purview of the Director of Gifts Administration and Records Management on managing data related projects.
  • Facilitate a culture of data literacy and content ownership amongst CRM users by serving as subject matter expert for information sources and data processes across the division.

Technology Support

  • Manages the testing and implementation of system additions modifications and upgrades.
  • Collaborates with University Information Technology to locate isolate and resolve system bugs and issues.
  • Communicate system and process updates bugs and issues among Advancement staff and stakeholders.
  • Work closely with Strategic Analytics and Prospect Development on implementing Salesforce Marketing Cloud data extensions through appropriate use of the CRM.

Documentation & Training

  • Resource for staff on database use policies and procedures.
  • Ensure that business rules for the use of the CRM are documented and implemented throughout Advancement.
  • Work closely with the Associate Director of Technical Training to develop training plans and documentation for distribution throughout the division.

Gift Processing

  • Assists with gift and pledge processing during times of high volume including the timely posting of gift batches to CRM Advance.
  • Provide oversight of integrating the online giving platform with the CRM. Assist in mass upload of contribution data and maintain the user account and giving data within the online giving platform.

Partnerships & University Citizenship

Serves as an active and collaborative partner to all central and unit-based Advancement staff and other campus colleagues to foster strategic effective and collaborative career and professional development practices.

Knowledge Skills and Abilities

  • Knowledge of database software platforms; high level of technological proficiency required. Must be able to manipulate large quantities of data accurately and efficiently.
  • Must possess strong critical thinking skills and recognize opportunities for improvement in the completion of tasks and projects.
  • Highly ethical and able to maintain confidential information.
  • Must have strong organizational skills and strict attention to detail.
  • Must be able to manage time well particularly while managing competing priorities.
  • Must be able to work independently and as a part of a group.

Required Qualifications

  • Bachelors degree or equivalent combination of education and work experience (Veterans with equivalent combination of military certification/education and experience may substitute for this qualification).
  • 3 years of experience in information systems with a basic understanding of data collection manipulation and complex relational databases.
  • 1 year of experience working with gifts data and records/database management in a large complex environment including a basic understanding of IRS rules and regulations.
  • Management experience (to include direct management of projects or personnel).

Preferred Qualifications

  • Experience working in a higher education and/or non-profit environment.
  • Experience with CRM Advance database software or similar software solution.
  • Gift entry experience and familiarity with complex gift accounting and gift administration processes.

Working Environment

  • Standard open office environment.
  • Noise level is quiet to moderate.
  • Some nights and weekend event attendance.
  • Eligible for hybrid work.

Physical Activities

  • Ability to work in front of a computer for an extended period.
  • Occasionally required to move about the office/campus

Work Schedule
Monday - Friday 8:00 a.m. - 4:30 p.m. Some weekends and evenings as required.

In accordance with the Universitys flexible work policy this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Salary Grade Number:
The salary grade for the position is 12.

Salary Range:
The salary range for this position is $75000-$85000.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate departmental budget availability internal salary equity considerations and available market information but not based on a candidates sex or any other protected status.
