POSITION SUMMARYThe Executive Assistant provides high-level administrative and operational support to the Executive Director in a fast-paced regulatory environment. Responsibilities include coordinating meetings and hearings preparing documents and reports and assisting with project-based research and planning. The position requires discretion in handling confidential information proactive communication skills and the ability to engage with internal departments and stakeholders. ESSENTIAL FUNCTIONS- Provide extensive administrative assistance to the Executive Director including but not limited to the research collection and analysis of information to utilize in preparing reports; routing correspondence using digital signatures; drafting letters and documents; transcribing notes and meeting minutes.
- Provide basic administrative assistance to the Commissioners and agency departments.
- Coordinate and support travel-related administrative functions for the agency ensuring all phases of travelplanning authorization reimbursement and post-travel documentationare completed accurately efficiently and in alignment with organizational policies.
- Coordinate and schedule internal and external meetings regulatory hearings and related events including securing meeting spaces managing calendars sending invitations and ensuring all necessary materials are prepared and distributed in advance.
- Provide logistical and administrative support during meetings and hearings including overseeing videoconferencing or AV/IT setup monitoring meeting flow assisting participants and serving as the primary point of contact for in-person or virtual coordination needs.
- Use Microsoft Office and Teams to oversee Executive Calendar management project coordination and organization-wide communication.
- Perform administrative tasks for web-based systems such as updating users organizing folders and content review and oversight of learning management system activity.
- Monitor procure and reconcile operational purchases in accordance with purchasing policies and budgetary restrictions.
- Participate in the development of Gaming Commission objectives including community youth and casino engagement initiatives that promote positive relationships and organizational visibility.
- Successfully complete all requisite online training modules related to Gaming Commission regulations policies and procedures Bank Secrecy Act/Anti Money Laundering and Criminal Justice Information System/Criminal History Information within first sixty days and annually thereafter.
- Perform other duties as assigned.
MINIMUM REQUIREMENTS- Associates degree in business administration criminal justice information systems or related field; or two plus years of on-the-job experience which demonstrates the ability to perform the essential functions of the position; or some combination of relevant education and experience.
- Experience identifying unresolved issues and performing work both independently and in a team setting with no or minimal supervision.
- At least six months experience using office management tools and systems to manage workload.
- Recognition of regulatory terminology with the ability to interpret and apply Tribal Federal State local and other relevant laws and regulations/codes specifically IGRA and NIGC regulations as needed.
- Experience operating meeting software like videoconferencing platforms such as Zoom or Microsoft Teams with a rudimentary understanding of virtual meetings screen sharing and basic troubleshooting.
- Experience preparing professional correspondence using formal business formats and/or common professional templates.
- Experience routinely using multi-line telephone systems including to place receive screen and transfer calls professionally.
- Experience proficiently using personal computers software such as Microsoft Office and Adobe Pro and general office equipment.
- Knowledge of protective record keeping/documentation procedures and practices in a confidential setting.
- Able to travel to training and conferences.
- Complete and pass a comprehensive background investigation and drug screening in accordance with NHBP standards.

WORKING ENVIRONMENTWork performed in a quiet political office setting that may include emotionally stressful situations. Some travel to training and meetings expected. The employee is required to accurately communicate information and ideas so others will understand. The employee is often required to remain in a stationary position for most of the workday and constantly operate a computer and other office productivity machinery such as a calculator copy machine and printer. The employee is occasionally required to move about inside the office to access files or documents and attend meetings. The employee will sometimes need to position themselves to access items in high or low locations. The employee must occasionally move items up to 10 pounds across the office or between locations for various reasons. The employee must be able to observe details at close range (within a few feet of the observer). As a condition of employment Gaming Commission employees consent to the exclusive jurisdiction of the Tribe and the Tribal Court for any and all disputes in connection with their employment with the Tribe. They also consent to the application of the Tribes law both substantive and procedural regarding any and all proceedings matters and things relating to their employment relationship with the Tribe. Employees consent to the Tribes grievance procedure and to the Tribes courts for any and all disputes related to their employment with the Tribe. Employees agree that exclusive jurisdiction means that they do not have a right to sue the Tribe its officials or employees in any court or forum other than the court or forum provided by the Tribe.
