The Position:

We are seeking a full-time Bilingual Psychiatric Administrative Assistant for our Palmdale site. This position reports directly to the Psychiatric Case Manager Lead and is primarily responsible for the day-to-day functioning of the reception of the Psychiatric department and for the daily check-in of all clients supporting the Psychiatric Assistants and assisting clients with paperwork as needed. Additionally this position also provides support in review of clinical charts to ensure proper documentation.



What Youll Do

  • Reception duties: Manage Psychiatry main line calls greet visitors check in clients via EHR notify doctors collect fees schedule and remind appointments and handle administrative paperwork.
  • Crisis communication: Immediately alert supervisors and Crisis Team about potential crises.
  • Medical records handling: Process and track medical record requests fax authorizations scan received records into EHR and maintain detailed logs.
  • Compliance monitoring: Review client records for attendance and documentation notify staff of missing or expired documents and follow up on pending physician items.
  • Interpreter coordination: Ensure appointments needing interpretation are scheduled and entered in interpreter calendar.
  • Pharmacy and medication support: Update pharmacy info in e-prescribing system monitor electronic medication logs and prepare related letters.
  • Backup support: Assist Psychiatric Assistants when needed and perform additional duties to maintain smooth operations.
  • Document management: File documents prepare letters (e.g. absence justification) and maintain administrative records.
  • Hours: Full-time (40 hours) Monday Friday 8:30am 5:30pm (Work schedule is subject to change based on the needs of the Center)
  • This position is fully onsite to start with the potential to become hybrid after 3-months of successful employment.
  • Starting Salary: $19.00/hour

Qualifications

  • Bilingual in Spanish and English required.
  • Must have strong interpersonal skills and be able to get along with others in a courteous and respectful manner. Must be able to work as a team play in a teamwork environment.
  • Must be able to demonstrate effective verbal and written communication skills.
  • Ability to prioritize and use time effectively
  • Strong organizational skills
  • BA/BS degree preferred with minimum 2 years of experience in similar job functions. High School Diploma or equivalent required.
