As Clerk II you are part of a team that has a strong commitment to delivering excellent administrative services that support the functions of Legal Services.
In this role you will support three lines of business within the Legal Services Branch. This position is responsible for providing a broad range of clerical and administrative services in support of the day-to-day operations of Legal Services. Major outcomes include the maintenance of accurate records to ensure the branch achieves its legal and corporate priorities.
This position will demonstrate priority in supporting the core needs of the branch providing support on critical and time sensitive matters maintaining business area priorities and organization.
What will you do
- Provide Legal Services reception coverage and respond to inquiries via phone email and in-person; take messages and redirect to appropriate departments
- Handle the sending and receiving of mail faxes and courier services
- Draft documents create templates and ensure compliance with FOIP and Law Society requirements
- Manage calendars and diarization systems
- Complete and process forms letters labels and envelopes
- Day to day file management including obtaining documents printing photocopying and scanning documents
- Open and close legal files insurance and claims files request and return closed files and conduct necessary legal searches
- Assist Adjusters and Analysts with a variety of administrative tasks including (but not limited to) bonds/letters of credits claims preparation file management insurance tracking renewal certificates of insurance and data entry
- Direct claims-related telephone email and online inquiries to the appropriate Adjuster
- Obtain Light Rail Transit (LRT) and Edmonton Police Service (EPS) reports for files
- Assist with billing invoice management and recovery payment report
- Create cheque requisitions including necessary follow-up as required
- Look for efficiencies within current administrative processes and recommend improvements to the Supervisor
- Assist various Legal Services staff with administrative tasks and processes as requested
- Other duties as assigned

- Completion of the twelfth (12th) grade including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
- A minimum of two (2) years of diversified experience in general office practices and procedures including assisting in the instruction of less experienced staff
Assets:
- Working in programs such as Ariba Google Suite POSSE and CCure
- Experience working in a Legal Insurance and Claims Management or Corporate Security setting
- Experience in conducting Lien AMVIR and court searches
- Ability to open and close claims using document management systems (e.g. IVOS)
- Conduct searches using SPIN CORES courthouse forms and Alberta Land Titles Online (e.g. corporate land titles personal property intellectual property)
Skills required for success:
- Strong understanding of branch procedures exceptional organizational abilities and proficiency in scheduling time management and document management systems
- Setting work priorities ordering supplies and determining relevant correspondence for file inclusion
- Provide prompt and efficient support to team members while managing competing priorities
- Provide effective communication and teamwork which are essential for navigating administrative tasks and ensuring smooth operations
- Manage critical tasks across the department while balancing multiple requests and priorities daily

Conditions of Employment:
- Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position. There may be a cost associated with this requirement

Work Environment:
- Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
- The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance

Hours of Work: 33.75 Hours per week. Monday-Friday.
Salary Range: $25.172 to $31.257 (Hourly); $44346.770 to $55067.020 (Annually)
Salary ranges are in the process of being updated in accordance with the recently ratified collective agreement between the City and CSU 52 and will be forthcoming shortly
