Job Description

Job Title: Administrative Assistant

Schedule: 4 days a week 6 hours a day (Flexible)
Type: Part-Time 24 hours per week)
Pay Rate: $28 $30/hour
Location: Irvine CA
Duration: 2-month contract


Overview:

A global medical device company located in Orange County is looking to identify and hire a part-time Administrative Assistant for a 2-month contract assignment. This new position is responsible for providing administrative support to employees and independently leading the administrative function of the office located in Irvine CA. This position collaborates with the team to achieve quarterly mid-term and annual management objectives.


Key Responsibilities:

  • Independently taking charge of managing office operations.

  • Organizing meetings with internal and external stakeholders including video or internet-based meetings across international time zones (US EU Far East Asia).

  • Preparing and/or revising presentations reports meeting materials minutes and correspondence; maintaining action item logs.

  • Leading office facilities management: ordering supplies coordinating services and maintaining high-quality office standards.

  • Arranging travel and accommodations within budget for staff and external visitors including Key Opinion Leaders (KOLs).

  • Assisting leadership with budget preparation monitoring and preparing expense reports.

  • Submitting internal POs/RINGIs as per procedures.

  • Supporting general administrative needs: copying faxing mailing and filing.

  • Adhering to company rules protocols and Environmental Health & Safety regulations.

  • Participating in key initiatives or special projects.

  • Performing other tasks as requested by US colleagues.


Requirements:

  • Minimum Associates degree or equivalent work experience; Bachelors degree preferred.

  • 3 5 years of experience in an office environment.

  • Experience supporting work groups and understanding cross-functional priorities.

  • Strong administrative organizational interpersonal communication and problem-solving skills.

  • Proven drive for results and persistence in overcoming challenges.

  • Strong written verbal and presentation skills.

  • Intercultural experience preferred.

  • Ability to manage multiple high-priority tasks and work independently.

  • Collaborative mindset across all levels of the organization.

  • Proficiency in Microsoft Office Suite (Outlook PowerPoint Word Excel Teams).
