The Opportunity
Were seeking a detail-oriented and highly organized individual to join our team as a Contract Administrator. In this role youll play a key part in supporting our expanding parts contract program by managing billing tracking compliance maintaining contract accuracy and overseeing customer returns. Your work will help ensure contract terms are fulfilled and that internal teams and external partners remain aligned.
Key Responsibilities:
- Manage monthly billing cycles for existing parts contracts and process additional billing for late returns.
- Maintain an organized contract repository within our ERP system tracking key milestones such as renewals deliverables and payments.
- Process contract asset changes and ensure accurate documentation and recordkeeping.
- Administer product return processes to ensure customers meet contractual deadlines; coordinate billing for late returns when necessary.
- Partner with Operations to document and test returned parts ensuring accuracy and compliance.
- File complaints or issue reports based on return evaluations when applicable.
- Complete contract templates for new parts agreements and ensure all new contracts meet company and legal standards.
- Track and report KPIs related to billing accuracy return compliance and contract execution.
- Collaborate with Sales Finance and Operations to align on contractual obligations.
- Support quality system initiatives by creating or updating procedures and work instructions in accordance with ISO 13485.
- Assist with various finance tasks including customer billing credit memo processing AP invoice entry and more.
Knowledge Skills and Abilities youll need for this opportunity:
- High school diploma or equivalent required; Associates or Bachelors degree preferred.
- 1-2 years of experience in administration customer service billing or a similar field.
- Strong organizational skills with a sharp eye for detail.
- Ability to multitask and prioritize in a fast-paced office and warehouse environment.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Excel and office productivity tools.
- Capable of writing reports business correspondence and standard operating procedures.
- Effective in collaborating across departments and with external stakeholders.
- Problem-solver with a proactive mindset.
