Privacy Policy and Privacy Notice for California Residents located at Intake Specialist Job Details:Snell & Wilmer one of the largest and most prestigious law firms in the Western United States is seeking a detail-oriented and service-focused Client Intake Specialist to join our Finance Department in the Phoenix office. This role is ideal for individuals with strong administrative experience who are looking to build or further their career in the legal industry.
The Client Intake Specialist plays a critical role in the new business intake process by ensuring accurate and timely setup of new clients and matters in the firms systems. This role works closely with attorneys legal assistants and administrative staff to ensure compliance with firm policies and procedures and supports the firms risk management and billing operations.
The hours for this position are Monday through Friday 9:30 a.m. to 6:00 p.m.
Position responsibilities include but are not limited to the following:
- Open new client and matter records in the firms intake and accounting systems (Intapp and Aderant)
- Perform due diligence in accordance with firm policies before opening new matters
- Review new client and matter intake requests for completeness accuracy and policy compliance
- Collaborate with attorneys and legal staff to obtain missing or incomplete information
- Communicate professionally with legal personnel to guide them through the intake process and ensure timely matter setup
- Train and support new legal administrative assistance and other staff on the client/matter intake process and best practices
- Maintain accurate and confidential records of client/matter intake and related approvals
- Escalate potential conflicts or compliance issues to the appropriate leaders or departments
- Participate in the implementation and enhancement of intake procedures and systems to improve efficiency
- Assist with firm-wide projects and administrative tasks as assigned by the Finance Department
Experience and Qualifications:
- Strong critical thinking and problem-solving skills with a proactive approach
- High attention to detail and organizational skills
- Ability to handle multiple tasks and prioritize in a deadline-driven high-volume environment
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word Excel Outlook)
- Experience with law firm software such as Intapp Aderant Elite or similar legal/accounting systems is preferred
- Prior law firm or professional services experience is highly desirable but not required
- Commitment to providing excellent internal client service
