Position Summary
The Clinical Site Coordinator is a system-based role within Cayuga Health responsible for managing clinical education placements across hospitals skilled nursing facilities outpatient practices and clinics that participate in our clinically integrated network. This individual ensures clinical learning environments are efficiently utilized operationally viable and well-coordinated to support nursing pipeline programs and other academic partnerships.
Serving as a central point of contact for internal departments and academic institutions the coordinator will organize student placements track site availability and preceptor capacity and support compliance with regulatory and academic standards. The position works closely with the Inter-organizational Education Manager clinical leaders the nursing education department and academic program representatives to ensure clinical learning experiences are structured safe and high quality.
The Clinical Site Coordinator collaborates with related roles including the school district-based Student Program Liaison to ensure alignment and eliminate duplication of efforts in student engagement and workforce pipeline development.
Key Responsibilities
- Serve as the primary internal point of contact for nursing and allied health student placement coordination across Cayuga Health sites.
- Manage system-wide clinical education capacity by identifying available sites coordinating with department leaders and ensuring preceptor availability.
- Create and maintain scheduling systems and placement databases to track student assignments site utilization and preceptor loads.
- Collect clinical placement requests from academic institutions and match them with available resources ensuring placements are operationally feasible and aligned with department workflows.
- Ensure student onboarding and compliance with all relevant policies including immunizations background checks confidentiality agreements and training.
- Maintain strong relationships with internal departments and academic program partners to support smooth clinical experiences.
- Collaborate with external partners such as school districts community colleges and the Student Program Liaison to support broader workforce pipeline initiatives.
- Support Nursing Education leadership in the planning and execution of strategic education initiatives and program expansion efforts.
- Monitor program quality through regular feedback collection placement evaluations and reporting of learner outcomes.
- Ensure compliance with accrediting and regulatory bodies including NYS DOH The Joint Commission and academic affiliation agreements.
- Promote a professional and welcoming learning environment for students across all sites.
- Remain flexible and contribute to other duties as assigned in support of workforce development and educational partnerships.
Required Skills and Attributes
- Self-motivated organized and adaptable to changing priorities.
- Strong verbal written and interpersonal communication skills.
- Demonstrated ability to coordinate across multiple departments and institutions.
- Proficiency in Microsoft Office Suite and scheduling/database platforms.
- Ability to build rapport with clinical staff leaders and academic representatives.
- Knowledge of compliance and confidentiality requirements (e.g. FERPA HIPAA).
Minimum Qualifications
- High school diploma or GED equivalent.
- Experience in scheduling or operations in a healthcare or academic environment.
- Demonstrated organizational and multitasking skills in a fast-paced setting.
Preferred Qualifications
- Associates or Bachelors Degree.
- Previous experience in clinical education coordination or student placement.
- Clinical or patient care background preferred.
- Familiarity with credentialing and placement platforms (e.g. myClinicalExchange ACEMAPP).
Physical Requirements
- Prolonged periods of sitting standing walking and computer use.
- Ability to lift or move up to 40 pounds using proper body mechanics.
- Occasional stooping kneeling and reaching during supply management or filing.
Travel Requirements
- Hybrid position requiring regular travel across Cayuga Health sites and occasional remote work.
