Job Title: Financial Operations Assistant
Location:
Remote (EST Time Zone)
Salary Range:
up to 2200 USD

Work Schedule:
Monday - Friday 8:30 AM to 5:00 PM (EST)

Position Overview:

Were hiring a Financial Operations Assistant to provide critical behind-the-scenes support across finance and administrative operations. This role is ideal for someone who loves spreadsheets gets satisfaction from clean ledgers and enjoys driving internal efficiency. Youll handle daily bill processing reporting and administrative projects that ensure the business operates smoothly and scales effectively.

Key Responsibilities:

  • Enter bills to the owner and tenant ledgers in Buildium.
  • Coordinate onboarding of new clients and properties.
  • Prepare leases listing contracts and rental licenses.
  • Lead administrative projects across platforms to organize and analyze internal data.
  • Generate daily weekly and monthly financial and operational reports.
  • Manage license tracking renewals and related compliance documents.
  • Maintain digital file organization and property records.
  • Support move-in/move-out processes and prepare security deposit dispositions.
  • Research and resolve ledger discrepancies.
  • Update internal systems including Mikes REI Hub.
  • Collaborate with Finance Sales and Operations teams on ongoing tasks.
  • Contribute to process improvement and workflow streamlining.
  • Support special projects as assigned by the Operations Manager or CEO.


Qualifications:

  • 3 years in administrative support within a property management company.
  • 1 year of experience in financial operations or bookkeeping.
  • Proficiency with Microsoft Excel or Google Sheets.
  • High attention to detail and organizational skills.
  • Ability to multitask and prioritize independently.
  • Strong written and verbal communication in English.
  • Proactive team-oriented mindset with strong follow-through.


Nice-to-Haves:

  • Experience with Googles Looker Studio or reporting dashboards.
  • Familiarity with LeadSimple Property Meld or PandaDocs.
  • Background in workflow automation.
  • Prior experience supporting multiple departments in a startup or scaling environment.
