Position Summary
This position requires general knowledge of all property management duties and operations for a senior living community. An Executive Directors primary role is to ensure that their property meets all ownership goals and objectives to enforce Guardian Management policies and procedures and to adhere to Fair Housing and Landlord Tenant Laws at all times. An Executive Director is responsible for supervision of other property staff and vendors to provide outstanding customer service to the residents maintain excellent curb appeal provide well-timed and proactive property maintenance to ensure excellent and relevant services to residents to safeguard the good financial health and stability of the property to confirm timely compliance with all government and property program requirements and to complete all required paperwork and reports on time.
Schedule: 40 hours / week

Qualification Requirements
The requirements listed below are representative but not exclusive of the knowledge skill and/or ability required.
- Bachelors degree preferably in health or social service or related field or equivalent work experience.
- At least one year of experience managing a senior living facility or a facility in a related field.
- At least one year of experience working in the specific property program in place at the property (such as HUD RD or Tax Credit).
- Demonstrated ability to appropriately delegate responsibility with necessary authority without relinquishing overall responsibility and accountability for the delegated tasks.
- Excellent attention to detail and organizational skills.
- Strong mathematical skills and basic understanding of property budgets and financial accounting.
- Ability to speak read and write in English.
- Ability to communicate effectively and in a timely manner; both verbally and in writing.
- Able to complete company training requirements for this position within pre-determined deadlines and attend other training sessions as required.
Supervisory Responsibility
This position is required to oversee the work of other Guardian employees assigned to the property.
Work Environment
This job operates in a professional office environment. However many Executive Directors spend part of their workday doing tasks away from the office; such as assisting in other departments such as culinary and dining housekeeping activities attending resident activities showing apartments inspecting the grounds meeting with department heads meeting with vendors or meeting with owners.

Essential Functions
To perform this job successfully an individual must be able to perform each essential duty satisfactorily with or without reasonable accommodations.
- Represent Guardian in a positive and professional manner at all times.
- Act as the companys primary coordinator to assure that the companys efforts fully meet and exceed property management obligations.
- Manage all property operations in compliance with all local state and federal laws (Fair Housing Landlord Tenant Laws OSHA etc.).
- Direct the day-to-day activities of other property staff. Develop hire discharge evaluate performance coach and discipline staff with direction from Area Executive Director and Corporate HR Department.
- Establish and maintain collaborative working relationships between departments and with coworkers. Prepare and lead all site staff meetings including monthly safety meetings and document meeting minutes to submit to the corporate office.
- Under the direction of the Area Executive Director assist in the development of operating income/expense budgets and capital budgets that reflect the owners objectives for operating the property cash flow requirements and leasing strategy.
- Administer budgets review and analyze operations and recommend corrective actions needed to maximize efficiency owner and resident satisfaction and profitability to Area Executive Director.
- Analyze and report monthly financial statements including operating variances from budget cash management and strategies for collection of receivables in a timely manner.
- Coordinate collection and documentation of all revenues following lease obligations of tenants and Guardians policies on accounts receivable.
- Approve invoices for all goods/services required to maintain the propertys upkeep to company and owner standards and in accordance with propertys budget.
- Ensure that the property operates in compliance with the affordable program requirements applicable to the property.
- Cooperate and effectively interact with the resident council and hold monthly resident community meetings.
- Manage resident relations present information respond to questions and concerns and communicate effectively especially in emergency and inflammatory situations.
- Accurately record time worked adhere to time keeping guidelines including approving site staff time records on a daily basis.
- Develop and maintain positive client relationships. Attend all appropriate networking functions.
- Follow confidentiality guidelines for all resident property owner and Guardian information at all times.
- Liaison with corporate departments to provide a team approach to the management of the property.
- Constantly strive for improvements in work process and results to better meet resident needs ownership goals and objectives and company standards and expectations.
- Other duties as assigned by the Area Executive Director.
The following responsibilities may be shared with propertys Business Office Manager or Assistant Executive Director Marketing Director and/or Maintenance Director when applicable:
- Collect delinquent accounts according to legal guidelines and communicate with accounting department to ensure accuracy of rent roll and accounts receivable.
- Complete resident income certifications and recertifications in a timely and accurate manner in order to maintain compliance with program funding and regulatory agency requirements.
- Administer leasing efforts including reviewing tenant billings analyzing lease clauses preparing vacancy reports enforcing tenant compliance and performing landlord obligations.
- Work with Area Executive Director to identify engage and supervise property vendors.
- Under the direction of Area Executive Director bid work for property improvement as needed and as directed by Area Executive Director.
- Coordinate requests for repairs and maintenance regularly inspect property and vacant apartments.
- Purchase supplies required to maintain the property up to company and owner standards and within site budget.
- Keep accurate records of property systems such as conditions including roof HVAC fire prevention/extinguishing systems sprinklers elevators hazardous materials and conditions (i.e. asbestos and lead paint) and utilities.
- Participate in all property inspections by preparing documentation answering questions and touring the property with the inspector.
- Develop and maintain a system/plan for emergency services available to staff and residents both during and outside business hours.
Physical Demands

- Must occasionally lift and/or move up to 25 pounds.
- Must frequently stand walk sit and reach with hands and arms in completing duties.
- Possess knowledge of cleaning techniques and product use.
- Able to tolerate safe fumes according to manufacturers warning labels.
- Ability to clean apartment and common area interiors including windows according to company standards.
- Must be able to walk entire property on a daily basis. Walking the property may include climbing stairs walking on uneven ground and inclines.
Technology Knowledge and Skills
This role routinely uses standard office equipment such as computers phones photocopiers filing cabinets and fax machines.
Employees are regularly required to use internet programs Microsoft Office programs Adobe Acrobat email recruitment and property management software as well as training and time-keeping programs in the daily operation of the site.
Expected Hours of Work
Please note that non-exempt employees need to obtain Area Executive Director approval before working in excess of 40 hours per week. Your scheduled office hours will be determined by your Area Executive Director.
Your expected hours worked each week is specified in your Payroll Employment Understanding. However Executive Directors must be available to help residents as needed which requires some flexibility and may require working outside of regular business hours.
Travel
- This position requires some travel to attend meetings and trainings.

- Trips from your home to your community office are considered regular commuter travel and not eligible for mileage reimbursement under IRS regulations.
