Position Summary:
Sovah Health is looking for the ideal candidate will perform a variety of duties to support administration of the assigned department(s). Manages budget development and monitors monthly expense and revenue reports to achieve established targets; makes recommendations for capital expenditures and investment plans. Monitor and prepare Medicare IRIS reimbursements for all Sovah residency programs.
Composes types and transcribes correspondence forms reports presentation materials and other written communications.
Receives screens and routes visitors and telephone calls.
Responds to escalates and follows up on inquiries and problems as appropriate.
Schedules/coordinates meetings conferences special events appointments and travel arrangements.
Maintains assigned calendar(s).Maintains files and office equipment.
Manages and provides supervision and guidance to Residency and Student Coordinators.
Establishes and maintains an efficient and timely filing system for all confidential records and files.
Ensures that all files are maintained properly complete and in accordance with the hospital and agency guidelines
Manages the development and maintenance of departmental databases i.e. departmental personnel interviewed applicants rotating students vacation allowance of Interns/Residents.
Assists in preparations for accreditation audits and site visits.
Oversees and manages secure document storage process including storage and disposal of all confidential materials.
Minimum Qualifications:
Minimum Education
Completed Bachelors degree. In lieu of Bachelors degree an additional 2 years of experience for a total of 6 years of graduate medical education coordinator or program administrator role may be considered.
Required Skills
Requires critical thinking skills decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action.
Certifications:
National Board Certification for Training Administrators of Graduate Medical Education (TAGME) or within 3 years of hire.
Primary Location:
Hybrid. Remote work from home. Individual expected to be onsite during scheduled accreditation site surveys.
Knowledge of management theory practices and tools utilized (within graduate medical education).Knowledge of federal and state requirements as it relates to Medicare IRIS resident reimbursement.
Skill in budget management compiling statistics composing letters and reports.
Skill in computer applications such as basic functionality; computer software (New Innovations Microsoft Word Excel PowerPoint and presentation skills.
Ability to read and interpret documents contracts proposals and related legislation.
Ability to prepare detailed reports and correspondence.
Ability to speak effectively before groups.
Ability to calculate figures and compute rate ration and percent to draw and interpret bar graphs and apply basic algebraic concepts.
Ability to define problems collect data establish facts and draw valid conclusions.
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Ability to effectively present information and respond to questions from groups of managers clients customers and the general public.
Minimum Work Experience
Experience with administrative management of graduate medical education programs.
Minimum of four (4) years of experience in a graduate medical education coordinator or program administrator role required.
