Description

ABOUT THE ROLE:The Office Aide will provide full-time front desk support to Helping Hand as well as implement and maintain building security procedures of all persons entering and exiting the building.

SCHEDULE AND COMPENSATION:

  • On-site position Monday - Friday.
  • 40 hours per week.
  • Salary range $20.00-$24.60/hr (non-exempt).
  • Salary based on skills and experience.
  • Up to 6% annual bonus potential.
  • 403b retirement plan with up to a 4% company match.

A TYPICAL DAY FOR YOU AT HH:

  • Responsible for opening and closing the buildings (as needed).
  • Answer/direct incoming phone calls emails and faxes accordingly.
  • Greet and assist visitors to the agency while maintaining security procedures.
  • Assist in maintaining the general appearance of the front desk entry way and lobby of Helping Hand facilities.
  • Complete opening and distributing of mail daily.
  • Provide excellent customer service.
  • Responsible for checking clients and families in and out for the clinic or day program.
  • Must have a flexible schedule to assist as back-up for other office aides (including sick and vacation time).
  • Attend all team/agency meetings and trainings as scheduled.
  • Other duties as assigned.

Qualifications

LAND THIS OPPORTUNITY BY HAVING:

Education/Training:

  • High school diploma or GED required.
  • DSP certified or willingness to become DSP certified within 90 days of hire (preferred).

Experience:

  • At least 1 year as front desk assistant or administrative work (preferred).

Skill Sets:

  • Regular and predictable attendance.
  • Fluent in second language (Spanish strongly preferred).
  • Be able to multi-task and function in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills.
  • Able to read printed materials (English).
  • Proficient in Microsoft 365 including but not limited to Outlook Word Excel Teams and SharePoint.
  • Ability to promote and adhere to company values.

WORK ENVIRONMENT:

  • The person in this position needs to occasionally move about inside the office to assist clients/students/team members access file cabinets office machinery etc.
  • The ability to observe details at a close range (within a few feet of the observer).
  • Consistently position self to maintain files in cabinets or assist clients/students/team members.
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in all situations.
  • Must have a flexible schedule to assist as back-up for other office aides (including sick and vacation time).
  • Able to work at any of our Helping Hand facilities as assigned.
