The Student Data Specialist plays a key role in ensuring the accuracy consistency and efficiency of student admissions data.
This role supports the Admissions team by managing and maintaining data integrity within our systems assisting with reporting and dashboards and contributing to the development of improved processes automations and documentation.
The specialist will work closely with key stakeholders to support the admissions lifecycle and drive data-informed decision-making.
Responsibilities included the following:
Admissions Data Processing & CRM Updates
- Process application reports from roster files and update CRM records accordingly.
- Manage updates from partner systems and ensure accurate reflection of application changes in student records.
- Apply data cleansing activities including identifying and closing invalid duplicate or spam leads.
- Update lead statuses for students who dont meet entry criteria or are not active prospects.
- Maintain accurate data in relation to teaching terms including plan term updates post-census.
- Provide support to the Admissions team by resolving CRM data issues or escalating them appropriately.
Tools Dashboards & Tracker Management
- Create and maintain study trackers each term including updates as new data becomes available.
- Support dashboard creation and maintenance including development of new dashboards and views in the Cloud CRM.
- Ensure access for new starters to relevant dashboards and views.
Reporting & Insights
- Produce reports that monitor admissions metrics and advisor performance
- Contribute to process improvements through data-driven insights and stakeholder collaboration.
Qualifications :
Education
- Bachelors degree preferred or equivalent experience in a data administration or education-related field.
Experience
- 12 years of experience working in student admissions administrative operations or a related role in higher education.
- Demonstrated ability to work with complex data sets and high attention to detail.
- Proven track record of supporting teams through data-driven processes and reporting
Technical/Further Skills
- High proficiency in Microsoft Excel (e.g. formulas pivot tables lookups).
- Advanced CRM user (eg. creating views dashboards)
- Strong written and verbal communication skills.
- Excellent time management and organisational skills.
- Ability to adapt to shifting priorities and handle ambiguity in a fast-paced environment.
