Job Description

The Grants and Prospect Coordinator will support PJ Librarys robust grant and major giving programs and report to the Director of Grants Management. This hybrid role will support the advancement department through grants coordination grant and prospect research portfolio management moves management prospect tracking and general database support as needed.

Requirements

Grants Research Administration & Support

  • Supports the Director of Grants Management through the administration of foundation grants and major gift proposals.
  • Create and maintain a grants calendar with a 6-month outlook.
  • Assists in the preparation review and submission of new applications and renewals.
  • Support in both the internal and external grant processes.
  • Coordinate internal grant meetings with staff and leadership; schedule take notes create a follow-up plan in order to successfully execute the next steps for a grant.
  • Through building collaborative relationships coordinate timelines and information with various departments and leadership to ensure deadlines are met.
  • Tracks grants in Raisers Edge NXT database and ensure all records and information is correct and up-to-date.
  • Update actions media contacts and opportunities throughout the grant cycle.
  • Assist with moving grant contracts through legal review.
  • Create metrics to track grants program outputs.

Prospecting and Portfolio Support

  • Conduct minor prospect research for grant and major funder opportunities.
  • With the Director of Grants Management hold quarterly prospect portfolio reviews with Philanthropy Officers to ensure prospect documentation is correctly entered into NXT and up to date and assist with portfolio changes.
  • Working closely with the Database Administrator to ensure accuracy of data entry related prospect identification and research efforts are completed.
  • Complete data entry related prospect management efforts including assignments strategies and moves management notes ensuring the information is recorded in a timely fashion and is organized stored and maintained for data retrieval and reporting in Raisers Edge NXT.
  • Create manage and interpret reports in support of prospect identification prospect management and to track major gift fundraising progress. With the Director of Grants Management provide regular quality checks through the development and review of regular audit reports.
  • Support the development and maintenance of a comprehensive major gift pipeline in Raisers Edge NXT with the Director of Grants Management and the Deputy Director of Advancement.

Data Responsibilities

  • General data entry list pulls and records management.
  • Draft pledge and grant payment reminders working with the relationship managers to ensure accuracy in documentation and timeliness of the deliverable.

This position requires effective research as well as organizational and analytical skills. Must exercise a high degree of independent judgment initiative confidentiality organization communication and problem-solving skills. Must maintain effective communication systems written and oral with leadership the advancement team other departments donors prospects and program officers.


Qualifications

Bachelors degree.

A minimum of 3 years experience in fundraising in a nonprofit organization.

Ability to leverage technology to enhance fundraising efforts.

Knowledge of the fundraising cycle and the role of foundation grants and prospect development within it.

Strong research and analytical skills with the ability to investigate issues and recommend solutions.

Self-disciplined and action-oriented with the ability to complete complex projects independently.

Strong written skills including editing and proofreading to translate data for various stakeholders.

Ability to develop a thorough understanding of HGF and PJ Librarys mission vision and offerings.

Strong attention to detail especially with names and financial data.

Sound judgment and discretion in handling confidential information.

Strong collaborative skills and ability to communicate effectively with colleagues.

Creative and resourceful mindset with a proactive approach.

Knowledge of ethics statements by APRA Council for Advancement and Support of Education (CASE) and other related associations.

Familiarity with Microsoft Suite including superior Excel skills and online databases.

Preference for previous experience using Raisers Edge NXT and Salesforce


Location

This is a hybrid role from our home office in Agawam MA. Hybrid employees are expected onsite 60% of the time.


Compensation

A competitive salary ranging from $65000$75000 annually commensurate with experience.
