Job Description

The Service Director is responsible for maintaining the physical integrity of all the pertaining communities assigned at all times. This entails ensuring a clean and well-maintained living environment for residents visitors and staff. It is the Service Directors duty to anticipate identify and correct any and all problems involving property and to implement procedures that will prevent such problems. An effective program of maintenance is essential in order to cultivate resident satisfaction and protect the property owner. The Service Director will contact a person of authority should any situation warrant action or decision not included in his or her duties and responsibilities.

Essential Functions for Resident Service:

    • Conduct all business in accordance with company policies and procedures state and federal laws; e.g. OSHA ADA and Fair Housing etc.
    • Monitor service requests and make-readies to ensure timely completion is being accomplished. Assist any property that may need assistance with either daily.
    • Train and assist employees with difficult tasks or troubleshooting.
    • Monitor and spot check renovations accordingly to assist with keeping a standard and making sure costs are staying within budget
    • Assist with capital and lender repair items by making sure contractors are staying on schedule and completing the work thats needed.
    • Inspect properties and make sure any capital improvements or code compliance repairs needed are brought to the property managers and Director of Services attention and then taken care of immediately if necessary.
    • Oversees quality of work and quality control.
    • Responsible for price negotiations and vendor relations.
    • Institutes and manages the system for handling resident service requests. Completes work orders within 24 hours when possible.
    • Schedules maintenance personnel in conjunction with the manager so that maintenance is available for emergency purposes 24 hours a day seven days a week.

Essential Functions for Preventative Maintenance and Safety:

    • Conducts regularly scheduled safety meetings with entire teams; maintains and communicates HAZCOM standards. Makes sure MSDS sheets are current and readily accessible. Maintains thorough knowledge of pertinent laws EPA and OSHA regulations governing proper storage and management of hazardous materials including solvents flammables caustics and refrigerants.
    • Must be aware of the conditions of the physical properties throughout the area and make sure to immediately correct hazardous conditions; e.g. broken gates leading to the pool broken steps open holes broken/burned out exterior lights.
    • Makes sure accurate records regarding preventative maintenance service requests (received and completed) expenditures apartment make ready status and work in progress etc. are being maintained.
    • Schedules and performs minor routine maintenance on all appropriate equipment on a regular basis. Inspects and makes sure all tools are maintained and in excellent condition.
    • Indoctrinates and assists in the development of all subordinate maintenance staff. Instills a safety first attitude not only with maintenance service managers and their teams but with all staff members.
    • Instructs staff on proper use and guidelines of wearing safety items.

General Essential Functions:

    • Diagnoses and performs on a daily basis minor routine maintenance/repair involving the following: Electrical and Plumbing Gas fixtures (where applicable) A/C and Heating Systems Shutters Doors Cabinets Windows Siding Glass Doors Appliances Boiler Gas and Electric Water Irrigation Systems Door Locks Mailboxes and Locks Stairs Gates Fences Patios Railings Controlled Access Systems Tile Carpet and Flooring Ceiling Leaks Roofing Gutters and Fasteners Wall Interior/Exterior Lights Pool Areas Spa Pool Furniture etc.
    • Ensures that all make-ready repairs and services are completed correctly and on schedule.
    • Reports all major repairs and requisitions to the manager and direct supervisor prior to any expenditure of funds.
    • Possesses knowledge of budget and budget compliance.
    • Removes and transfers heavy appliances and equipment from the storage area to/or from the apartment as circumstances warrant. Assists in moving abandoned furniture appliance etc. to the dumpster when necessary.
    • Responsible for making sure all utility meter shut-offs apartment and fixture cut-offs sewer cleanouts are identified and maps are prepared indicating same.
    • Performs work area clean-up and safety-related duties.
    • Ensures that storage areas are locked when not in use.
    • Assists in keeping grounds neat and free of litter. Rakes sweeps shovels as circumstances warrant.

Qualifications:

    • Must have extensive knowledge about Apartment Maintenance Operations and Systems. Strong written and verbal communication skills and a high level of organizational skills. Minimum requirements for this position are:
    • 5 Years as a Maintenance Manager
    • 3 Years in Multifamily Communities
    • 3 Years Supervising Multiple Communities
    • Language Skills:Ability to read and comprehend instructions correspondence and memos. Ability to write communications market studies operating analyses and other forms of industry-standard correspondence. Ability to effectively present information in one-on-one and small group situations to customers clients and other employees of the Company.
    • Computer Skills:Strong Computer Microsoft Office and Property Management System skills. Ability to create and modify advanced files in Microsoft Excel Word and Power Point.
    • Interpersonal Skills:Ability to understand and deal effectively with resident vendor or personnel concerns or issues according to Company policy regardless of attitude behavior or tone of the individual. Ability to motivate discipline and train employees to maximize productivity.
    • Reasoning Ability:Ability to apply common sense understanding to carry out detailed and / or complex written or oral instructions. Ability to deal with one or more problems at a time involving one or more variables that are either known or unknown.
