Job Description

TITLE: Accounts Payable Clerk

REPORTS TO: Director of Accounting

JOB GOAL

To contribute to the efficient operation of the Accounts Payroll procedures for the ultimate benefit of the district.

SUPERVISORY RESPONSIBILITY

None

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Reconciles account balances for the purpose of maintaining accurate account balances and complying with related policies practices and/ or regulations.
  • Researches discrepancies of financial information and/or documentation (e.g. purchase orders invoices etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
  • Enters into the computer system all accounts payable invoices for District with the exception of Child Nutrition.
  • Files and maintains invoices and paid purchase orders in a manner prescribed by the Mississippi law.
  • Prepares fordistribution all weekly and monthly accounts payable checks to vendors.
  • Proof and oversee printing of accounts payable checks; Reconcile paid invoices againt the generated checks.
  • Prepares for distribution all travel checks for district employees.
  • Enters activity trips from Transportation into financial system.
  • Maintain vendor W9 files.
  • Performs other duties as assigned.

QUALIFICATIONS

Typing and accounting skills. Experience and moderate skill in using word processing programs.

EDUCATION AND EXPERIENCE

Graduation from high school or possess a GED diploma. Experience in accounts payable procedures.

  • LANGUAGE SKILLS Ability to respond to inquiries or complaints. Demonstrates effective communication skills by speaking clearly and expressing ideas logically and giving clear explict explanations. Uses written communication appropriately and professionally.

  • PHYSICAL DEMANDS While performing the duties of this job the employee is frequently required to sit and talk or hear. The employee is occasionally required to stand walk reach bend and sometime lift up to 25 pounds. Mobility skills are necessary to access a variety of work locations.

  • OTHER SKILLS Must keep accurate and up-to-date records.
