Job Description

The Provider Scheduler Coordinator is responsible for the oversight of Golden Valley Health Centers provider schedules and templates by ensuring the highest level of attention to detail. In addition the Provider Scheduler Coordinator ensures schedule optimization to maximize productivity and patient access throughout the organization.

This position will work at our Atwater site. Schedule is Monday - Friday 8:00am - 5:00pm.
Compensation: $25.11 - $26.37 an hour

Essential Duties and Responsibilities

  • Demonstrate effective communication and problem solving skills.
  • Develop and ensure the accuracy of templates and master schedule for providers throughout the entire organization by tracking and utilizing a database while ensuring high quality standards are maintained.
  • Provide scheduling support to health center personnel.
  • Create resources and templates and apply templates to the provider calendars at appropriate intervals.
  • Conduct audits and test large template changes prior to rolling out to reduce errors and improve processes and performance.
  • Identify and address providers scheduling issues evaluate and create alternative routes and anticipate future needs.
  • Troubleshoot issues related to the scheduling system.
  • Prepare maintain logs and/or spreadsheet reports that monitors daily scheduling activity and patient access at a glance. This includes running multiple patient access reports and delivering key findings on access issues to GVHC leadership.
  • Provide timely communication to the health centers/departments within the organization when revisions are made to schedules (i.e. Health Center Managers Clinic Supervisors appropriate support staff Call Center and other persons/departments as deemed necessary).
  • Plan and prepare reporting tools that assist in determining required changes to schedules.
  • Attend and co-lead Patient Access Committee meetings to discuss strategy to maximize patient access productivity and effective clinic flow.
  • Subject matter expert for various scheduling strategies provide recommendation on schedule workflows.
  • Adhere to scheduling policies and communicate with proper personal and supervisor regarding deviations made.
  • Additional duties and responsibilities as assigned.

Physical Demands

  • The employee must occasionally lift and/or move up to 30 pounds.
  • Specific vision abilities required by this job include close vision and the ability to adjust focus.
  • Must be able to hear staff on the phone and those who are served in-person and speak clearly in order to communicate information to clients and staff.
  • Must be able to have vision that is adequate to read memos a computer screen and administrative documents.
  • Must have high manual dexterity.
  • Must be able to squat and sit stand stoop crouch reach twist turn finger and feel.

Work Environment

The noise level in the work environment is usually quiet.

Education/Experience Requirements

Minimum Qualifications:

  • Research and compile information data collection and utilizes data quality assurance methods.
  • Excellent organizational skills ability to take initiative and work independently.
  • Time management attention to detail ability to manage multiple projects meet deadlines prioritize and follow-up and follow through in a rapidly changing environment.
  • Excellent customer service skills.
  • Excellent verbal and written communication.
  • Proficient in MS Suite Outlook Word Excel and PowerPoint.
  • Effectively interact with operational and clinical personnel.
  • Collect correlate analyze data elements develop plans problem solve and make decisions while adhering to company standards and guidelines.
  • Ability and initiative to streamline and suggest improved processes.
  • High level of scheduling practice knowledge.
  • Moderate to intense concentration due to complexity and/or need to meet deadlines and flexibility to readily adapt to a changing environment.

Education/Experience:

  • High school diploma or equivalent.
  • Experience working in EPIC system.
  • Minimum of two (2) years EHR experience.
  • Minimum of two (2) years medical scheduling experience.
  • Must obtain certification in assigned EPIC application within three (3) month of employment in the position.
  • Experience leading committees and/or projects.
  • Experience running analyzing and interpreting reports on schedules and patient access.
