Job Description

Financial Services Assistant

Temporary Full-time Position(1.0 FTE) - 35 Hours Per Week - Monday to Friday

Salary range: $17.50 per hour

Start date: July 3 2025; Duration: August 15 2025

The Financial Services Assistant will report to the Manager of Finance. This role will handle highly confidential records working alongside finance and payroll staff to support the development and documentation of Standard Operating Procedures and support the digital transformation of our payroll and financial documentation.


Duties will include but are not limited to the following:

Support development of Standard Operating Procedures

Collaborate with Finance and Payroll staff to document existing procedures.

Assist in writing editing and updating SOPs checklists and tracking documents.

Support process improvement initiatives by contributing to the development of user-friendly templates and tools.

Digitize highly confidential payroll records under the guidance of the Supervisor of Payroll and Supervisor of Accounting.

Ensure all scanned records are legible properly named and stored securely with clear references.

Participate in the secure destruction of physical copies once digital versions are verified.

Assist in pulling records for Freedom of Information (FOI) requests and organizing them within spreadsheets or databases.

Adhere strictly to privacy regulations and internal policies regarding the handling of sensitive data.

Use MS Office tools (Word Excel Outlook) and PDF software to complete assigned tasks.

Organize files in compliance with archiving standards.

Engage in additional administrative or financial support tasks as time and capacity allow.

Perform other duties as assigned by the Manager of Finance.

Candidates must possess:

Currently enrolled in a post-secondary program (preferably in business accounting administration or a related field).

Strong understanding of confidentiality and privacy best practices.

Strong analytical skills with a commitment to accuracy attention to detail including meeting deadlines.

Proficiency in Microsoft Office Suite (Word Excel Outlook) and PDF software.

Ability to work independently and manage time effectively.

Strong written and verbal communication skills.

Willingness to learn and engage with new tools and processes.

As a Catholic Learning Community the Brant Haldimand Norfolk Catholic District School Board provides faith formation and academic excellence which enables our graduates to live a life of love and service in Christ. The Brant Haldimand Norfolk Catholic District School Board provides a Christ-centered education to approximately 12000 students within 28 elementary schools 3 secondary schools and a multisite Alternative Education school and 3 administrative offices.
