Job Title: Assistant Firm Administrator
Salary Range: $annually DOE
Patterson Earnhart Real Bird and Wilson LLP is located in beautiful Boulder County Colorado. Nestled near trails parks and lakes our Colorado office is in Louisville Colorado. We are a fast-paced law firm with offices in Colorado Washington D.C. North Dakota Wisconsin and New Mexico serving American Indian tribes tribal entities and individual tribal members across the United States.
We are looking for an Assistant Firm Administrator to join our amazing team of legal professionals to lead Human Resources and Accounts Payable. The ideal candidate will have at least 3 years of Human Resources experience accounts payable experience and other high level administrative experience can multi-task and is willing to learn and work together as a team in order to best serve our clients. Strong organizational skills time management and attention to detail are a must for a candidate to be successful in this role.
Overall Responsibility:
The Assistant Firm Administrator shall assist the Firm Administrator and shall be responsible for the human resources administration client billing accounts payable specialist office management and related activities of the Firm. The Assistant Firm Administrator shall work together with the Firm Administrator and Legal Operations Manager as needed and shall report directly to the Firms Equity Partners.
Responsibilities include:
  • Responsible for Human Resources of the firm
  • Manage employee onboarding and offboarding
  • Handle complaint investigations
  • Create job descriptions place ads work with recruiters and coordinate scheduling interviews for candidates
  • Perform reference checks
  • Update firm policies and the employee handbook
  • Draft and create end of year reviews and letters for pay increases
  • Assist with managing employee benefits and annual open enrollment
  • Be primary contact for Firms billing operations
  • Enter expenses into Firms billing system
  • Run conflict checks & report to the requesting attorney
  • Interface with attorneys on any billing and accounts receivable issues
  • Prepare and maintain monthly billing reports
  • Follow-up with client on unpaid bills in coordination with the Firm Administrator
  • Prepare and maintain monthly A/R aging reports
  • Investigate and resolve client billing inquiries
  • Troubleshoot billing issues
  • Prepare forms required for client billing including cost reports
  • Incorporate cost report into monthly client invoices
  • Process firm supply orders
  • Work with EPs on matters involving the Firms technology needs
  • Oversee the firms document management system
  • Manage and oversee Firm events and activities
  • Manage the following Accounts Payable functions: receive and organize incoming invoices including employee expense reimbursements prepare payments for approval pay invoices in a timely manner via check credit card ACH or wire per the Firm Administrators approval attach receipts to invoices and maintain filing system of invoices and payments provide payment information to the Firm Administrator
  • Address any questions from vendors as they arise and research AP issues as needed
  • Deposit checks electronically in a timely manner
  • Oversee the day-to-day function of our banking relationship as an Administrator on our account
  • Oversee and manage the firms offices for repairs contracts leases and other operational needs
  • Attend meetings of the Equity Partners
  • Perform additional duties and special projects as needed.
Qualifications include:
  • 3 years of human resource experience some accounting experience and law firm experience
  • Attention to details
  • Excellent communication skills and interpersonal skills; ability and willingness to interact and communicate effectively with a variety of personalities
  • Analytical and problem-solving skills
  • Strong planning and organizational skills
  • Ability to multitask and prioritize with minimal oversight
  • Flexible good judgment discretion and a strong work ethic
  • Team player
  • Proficiency in Microsoft Office Suite Adobe NetDocuments - Clio software experience is a plus
  • Ability to stand and lift up to 50 pounds
