Job Description Summary
The Travel Course and International Internship Assistant will provide administrative support to the Manager. Assist with contracts budgets and proposal development for faculty-led programs and international internships. This position will serve as a Center for Global Education liaison to faculty administrators and professional service providers.

Responsibilities
Administrative Tasks Daily administrative tasks such as email correspondence phone calls scanning and printing documents. Enter information pull reports and sort data from the Global Gateway (our online application system) and maintain other database systems. Create and update fillable forms documents website content and presentations. Assist the Manager with preparation for site visits attendance at conferences or special events such as the Study Abroad Fair. Contract and Budget Support Create and build detailed preliminary and final budgets from provider proposals in Excel. Help create and edit program contracts from professional service providers. Assist with creating fillable forms and updating documents for Travel Courses and International Internships. Correspond with Legal Risk professional service providers and Chapman departments on program contracts and budgets. Maintain and organize contract and budget files and ensure they are on track. Event Support Assist with special events such as the Study Abroad Fair and International Education Week. Help plan and create student pre-departure orientations and faculty training sessions.

Required Qualifications
Experience in providing administrative support in a professional office. Bachelors degree or equivalent education or experience related to the duties and responsibilities specified Strong written communication skills to prepare clear concise and grammatically correct business correspondence including solid editing and proofreading skills Demonstrated ability with Microsoft Word Outlook and Excel and the ability to learn and use campus enterprise systems. Strong organizational skills and meticulous attention to detail Ability to anticipate tasks prioritize multiple responsibilities and work collaboratively with others Ability to foster effective relationships and work with a diverse group of individuals from within and outside the University community Ability to maintain a high level of confidentiality and demonstrate tact and diplomacy Ability to use standard office equipment
