Job Description Summary: The Executive Assistant provides comprehensive support to our Chief Operations Officer and other executives. This is a pivotal role that possesses traditional executive assistant skills but also demonstrates a superior aptitude for leveraging digital tools and platforms orchestrating high-impact events and communicating with precision and influence. This role needs to be a proactive problem-solver and a masterful organizer.
Executive Support & Administration
Proactively manage complex calendars scheduling meetings appointments and travel logistics (domestic and international) with a keen eye for efficiency and time zone considerations often utilizing scheduling software and virtual meeting platforms.
Prepare and organize meeting materials presentations and reports frequently leveraging advanced features of Google Workspace (Docs Sheets Slides).
Manage and prioritize incoming communications (email phone digital messages) drafting responses and ensuring timely follow-up.
Act as a digital gatekeeper effectively filtering information and requests and directing them to the appropriate channels.
Assist with expense reporting and reconciliation utilizing expense management systems.
Anticipate needs and proactively prepare the executive for upcoming meetings events and projects.
Event Organization & Management:
Lead the planning coordination and execution of internal and external events ranging from executive offsites and board meetings to client appreciation events and team building activities.
Manage all aspects of event logistics including venue selection vendor negotiation catering audiovisual requirements and attendee registration.
Develop and manage event budgets ensuring cost-effectiveness and adherence to financial guidelines.
Create compelling event invitations agendas and promotional materials often using design software or templates.
Coordinate travel and accommodation for event attendees including VIPs.
Oversee on-site event execution ensuring seamless operations and addressing any issues proactively.
Communications & Stakeholder Engagement:
Serve as a primary point of contact for internal and external stakeholders handling inquiries with professionalism discretion and a service-oriented approach.
Facilitate clear and effective communication flow between the executive and various departments.
Exercise sound judgment and maintain strict confidentiality regarding sensitive information.
Required Qualifications
High school diploma of equivalent
5 plus years of experience in an Executive Assistant role supporting senior-level executives is essential.
Expert-level command of Google Workspace (Gmail Calendar Docs Sheets Slides) or Microsoft Office 365.
Proficiency with virtual meeting platforms (e.g. Google Meet Zoom Teams).
Preferred Qualifications
Experience with project management software and/or CRM systems is a plus
Knowledge Skills & Abilities:
Demonstrated higher than average proficiency in leveraging digital tools and platforms (Ability to quickly learn and adapt to new technologies and digital workflows)
Proven track record of successfully organizing and executing important events of varying scales (up to 50 people)
Exceptional written and verbal communication skills with the ability to articulate complex information clearly and concisely.
Superior interpersonal skills and the ability to build rapport with diverse personalities.
Strong organizational skills with meticulous attention to detail and the ability to manage multiple priorities simultaneously in a fast-paced environment.
Proactive resourceful and able to anticipate needs without direct instruction.
High level of discretion professionalism and integrity.
Problem-solving mindset with a strong sense of urgency.
Ability to work independently and collaboratively as part of a team.
