About us

Committed to building the next generation of 100% software-based mobile networks ng-voice is creating innovative mobile infrastructure solutions and making them accessible for operators and enterprises that want to deploy future-proof networks.

Were looking for a skilled and experienced Executive Assistant ideally based in Hamburg to support our CEO COO and CTO. The role can be structured as part-time (from 50%) up to full-time (100%) depending on your availability and preferences.

Tasks
What your day to day might look like

  • Manage proactively busy calendars arrange international and local travel and provide high-quality support under tight deadlines
  • Act as the point of contact among executives employees clients and other external partners
  • Independently manage different workstreams and help to solve complex problems to support the management team
  • Communicate with internal and external teams on deadlines and project progress
  • Prepare client presentations and internal board meetings (e.g. compile briefing material)
  • Researching and conducting data to prepare documents for review and presentation by boards of directors committees and executives.
  • Filing and retrieving corporate records documents and reports
  • Working closely with our Office Management WS to manage and oversee duties at both office locations and provide general administrative support
  • Opening sorting and distributing incoming faxes emails and other correspondence
Requirements
What we are ideally looking for

  • Excellent organizational interpersonal communication and team skills
  • Resourceful detail-oriented able to solve complex problems independently with a positive can do attitude
  • High level of energy and motivation; Ability to perform well in a highly dynamic rapidly changing environment and to adapt quickly to changing priorities
  • Ability to take ownership of processes and projects
  • Experience in an administrative role supporting senior management
  • Familiar with using various software including word processing spreadsheets databases and presentation software.
  • Discretion and confidentiality
  • Professional level verbal and written communication skills
  • Fluent in German and English (C1-C2); other languages are a plus

  • Experience with any of the following: G-Suite Personio Spendesk Confluence Slack Microsoft 365 Zoom
