POSITION SUMMARY

The BORN Ontario Business Coordinator reports to the BORN Program Manager and will develop monitor and coordinate BORN Ontarios annual business plan and budget monitor financial transactions prepare quarterly and annual financial and program reports prepare various financial transactions including contracts purchase orders invoices expense claims research funding professional development and projects. The Business Coordinator will maintain close working relationship with CHEO Finance Department staff and management and other internal and external stakeholders.

RESPONSIBILITIES

  • Responsible for the coordination/preparation of BORNs annual business plan and budget the integrity of internal and external reporting and monthly financial analysis and reconciliation of the BORN Ontario program against budget and the Transfer Payment Agreement.
  • Monitor day to day financial activities process invoices prepare purchase orders process reimbursements for staff telework arrangements travel and professional development
  • Conduct monthly review and reconciliation of entries in the accounting system to ensure month-end financial results are accurate and valid making any adjustments as necessary. Work in conjunction with colleagues at CHEO to reconcile transactions or address issues. Conduct monthly variance analysis and provide update to the Program Manager.
  • Develop and provide financial reports to BORN management and other stakeholders
  • Prepare all materials required to monitor progress status budget and other reports as directed including quarterly and annual financial and program reports
  • Coordinate the routine and ad-hoc financial submissions to the MOHLTC
  • Ensure that contract related financial records are at all times audit ready
  • Provide financial and business analysis support and advice to the Program Manager on business issues and other matters as appropriate. Develop business cases analysis reports and funding proposals as required. Analyses contracts for financial compliance and alignment with budget.
  • Track analyze and report on professional development expenditures technology expenditures and various project-related or vendor-specific expenditures as required
  • Assist BORN management and staff with decision support custom reporting and other information requirements related to financial management
  • Develops or enhance BORNs financial management and human resource systems to ensure that all revenues and expenditures can be tracked monitored and reported efficiently and accurately. Provide suggestions on improving internal controls
  • Develop implement and maintain standards policies administrative procedures office systems and best practices to improve and optimize financial processes and to ensure effective coordination and reporting; troubleshot and facilitate resolution of relevant issues as appropriate
  • May initiate HR staffing request forms as directed obtain required signatures and forward to Human Resources.

QUALIFICATIONS

  • Criminal Record Check (CRC) (Essential)
  • Bachelors degree specializing in business or accounting (Essential)
  • Two to three years experience with financial matters and preparing analysis and reports for seniormanagement and stakeholders (Essential)
  • Computer literacy & proficient working knowledge on MS office with strong expertise in Excel (Essential)
  • Strong communication and interpersonal skills and ability to deal effectively with a broad range ofprofessional and non-professional expertise and skill sets both internally and externally (Essential)
  • Strong organizational and time management skills. Able to effectively adjust priorities as required (Essential)
  • Advanced verbal and written communication skills in English (Essential)
  • An ability to work in a fast-paced environment that requires agile clear thinking for quick turnaround of accurate high quality deliverables (Essential)
  • Experience in full cycle of accounting and year-end preparations would be an asset (Preferred)
  • Bilingualism (French and English) (Preferred)

* Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic/experience requirements.

Effective March 29 2021 CHEO will conduct a more comprehensive pre-screening and evaluation process. This process may include more varied and multidimensional testing such as a written test practical exam or other assessment. All candidates who meet the essential and preferred qualifications may be tested.

Le poste de coordonnateur ou coordonnatrice des activits relve de le gestionnaire du programmes de BORN. Ill/elle labore surveille et coordonne le plan daffaires annuel et le budget de BORN Ontario surveille les transactions financires prpare les rapports financiers trimestriels et annuels des programmes prpare diverses transactions financires y compris les contrats les bons de commande les fractures les demandes de remboursement des dpenses le financement des recherches le perfectionnement professionnel et les projets. Le coordonnateur ou la coordonnatrice travaille en troite collaboration avec le service et la direction des finances de CHEO et les autres acteurs internes et externes.
