Senior Coordinator Managing Editors Office
The Senior Coordinator in the Managing Editors Office plays a critical support role ensuring the smooth operation of newsroom initiatives. This position provides administrative and project coordination support to senior newsroom leadership including the Deputy Editor-in-Chief and Executive Editor while also serving as a key liaison across departments. The ideal candidate will be proactive highly organized and detail-oriented with proven experience managing complex projects in a fast-paced environment. This is an in-office role requiring five days a week on-site presence. You will report to the Associate Managing Editor.
Provide backup for the Editor in Chiefs Senior Manager and Managing Editors Executive Assistant as needed. Process expenses and travel arrangements for the Deputy Editor-in-Chief the Executive Editor and the Business Finance & Economics coverage chief
Provide support to projects and processes within the Managing Editors Office including press passes onboarding Interns and News Associates and managing WorkDay reporting lines and the talent attraction project
Help manage logistical and scheduling needs for ongoing initiatives including summer internships News Associates and the early talent program
Help organize lunchtime (lunch & learn) training sessions for bureau chiefs news editors and other mid-career journalists
Provide support to the onboarding process and identify gaps and improvements
Manage business-related tasks such as creating reports organizing travel and accommodations and other administrative responsibilities
Be in the office five days a week
Anticipate and address conflicting priorities handling matters proactively and ensuring timely follow-through on projects under deadline pressures
Prepare materials and files ahead of meetings and events to ensure the executive is equipped for success
Standardize processes and pull together SOPs for staff to reference
Serve as a bridge for smooth communication between the Managing Editors office and internal departments navigating sensitive matters with discretion
Build and maintain effective relationships with internal teams and newsroom staff.
You have:
5 years of experience as an executive assistant or coordinator
Project administration / coordinator experience
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) Zoom and the Google Suite of products
Strong attention to detail
Proven ability to handle confidential information
Knowledge about how large corporations work
Excellent writing skills
Clear and effective communication skills
Maintain confidential information with superior judgment and discretion
Ability to manage multiple projects and people simultaneously
A positive problem solving attitude.
