Job Description

PRIMARY PURPOSE:

Under minimum supervision organize and manage the routine work activities of the Police and Safety Department and provide emergency communication and clerical support to the Police and Safety administrators as well as the District and AISD schools. Handle confidential information and engage in frequent contact with the police and safety department District personnel campus personnel and outside agencies.

QUALIFICATIONS:

Minimum Education/Certification:

Sixty college hours or associates degree

Typing test greater >40 WPM

Special Knowledge/Skills

Effective written and oral communication public relations organizational and interpersonal skills

Ability to work collaboratively with District and School personnel

Proficient computer skills and file maintenance

Use software to develop spreadsheets perform data analysis and do word processing

Working knowledge of data processing systems and financial/accounting applications

Flexible and able to adjust easily to changes in daily routine and timelines

Work independently without direct guidance and supervision

Handle multiple projects and activities simultaneously and meet deadlines

Knowledge of school district organization operations and administrative policies

Work Conditions:

Tools/Equipment Used:Standard office equipment including personal computer and peripherals

Posture:Prolonged sitting; occasional bending/stooping pushing/pulling and twisting

Motion:Repetitive hand motions including prolonged keyboarding & use of a mouse; manual dexterity; occasional reaching

Lifting:Occasional lifting and carrying (less than 50 pounds)

Environment:Work with frequent interruptions in a small office space; Must maintain professional demeanor understress; Must have problem-solving skills.

Regular attendance is an essential function

Minimum Experience:

Two or more years of successful experience in a similar position

Major Responsibilities and Duties:

Records Reports and Correspondence

  1. Prepare correspondence forms reports manuals and presentations for the department.
  2. Compile maintain and file all reports records and other documents as required.
  3. Receive emergency communication from campus and district personnel and respond as appropriate.
  4. Verify incoming emergency communication notifications and alert District police as needed.
  5. Understand and utilize the four phases of emergency management and maintain the District Emergency Operations Plans.
  6. Assist Chief of Police with Texas School Safety Center mandates and requirements.
  7. Assist Chief of Police with collection organization and analyzation of safety and security audit data.
  8. Respond to emergency situations as needed to participate in the implementation of the incident command system.
  9. Assist with the coordination of district emergency management initiatives.
  10. Attend District Safety and Security Committee meetings.
  11. Complete Incident Command System training as assigned by Chief of Police

Accounting

  1. Perform routine bookkeeping tasks and maintain department budget records. Prepare and process department purchase orders and payment authorizations.
  2. Order and maintain inventory of office supplies program equipment and emergency response equipment.

Other

  1. Answer and respond to incoming calls take reliable messages and route to appropriate staff.
  2. Effectively communicate using the District radio.
  3. Maintain a schedule of appointments and make travel arrangements for department staff as needed.
  4. Make meeting arrangements for department activities including preparing materials scheduling and setting up facilities and arranging equipment.
  5. Receive sort and distribute mail and other documents to department staff.
  6. Maintain confidentiality of information.
  7. Follow district safety protocols and emergency procedures.
  8. Comply with policies established by federal and state laws and regulations and local board policy.
  9. Perform other duties as assigned.
