Job Description

Classification Title:

Fiscal Assistant II/III

Classification Minimum Requirements:

Fiscal Assistant II - High school diploma or equivalent and three years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for required experience.

Fiscal Assistant III - High school diploma or equivalent and five years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Job Description:

As a member of the fiscal unit within the UF College of Pharmacys Shared Service Center this position supports COP Finance office departments and college by processing fiscal and financial transactions following up on pending items and providing high-quality customer service.

This is a high-volume unit the employee in this position must be able to multi-task be organized be able to problem solve be a self-starter and abide by college university state and federal policies procedures and regulations.

Transactions Processing: Process Travel Authorizations (TA) Expense Reports (ER) and generic reimbursements process orders payments and analyzes reconciles and approves Pcard charges for customer units based on chartfield information descriptions explanations and documentation provided by the customers.

Financial Support: Process journal entries such as expense to expense (E2Es) and expense to revenue (E2Rs). Reviews all voucher and journal entries for accuracy. Responsible for making deposits for the assigned units/accounts. Creating invoices and recording payments. Monitor account balances and expenditures. Assist with compliance.

Analyze Transactions/Processes: Researches analyzes and resolves general accounts transaction problems. Provides input on processes systems and workflows relating to fiscal matters. Explains and applies complex policies and procedures. Backup support during absences. Basic office support such as answering phones maintaining files etc.

Fiscal Expertise: Be a subject matter expert network with colleagues and core offices for collaboration and additional resources

Training Support: Support to Fiscal Assistant 1 positions new personnel or Administrative Assistant at the direction of the Assistant Director of Operations.

Faculty and Department Staff Support: Meeting faculty and staff to solve any fiscal problems make sure that they understand the SSC processes and that the fiscal unit understand their needs.

Other: May fill in for other short term vacancies in the shared service center. Other duties as assigned by the units Team Lead.

This position is eligible for a hybrid work schedule; primarily remote with occasional on campus expectations based on the needs of the department.

Expected Salary:

Fiscal Assistant II:$21.07 - $22.51 /hour

Fiscal Assistant III:$22.99 - 24.43 /hour

Preferred:

Fiscal Assistant II - 2 years experience with UF policies and procedures for travel pcards voucher payments and requisitions journal entries deposits.

Fiscal Assistant III - 3 years experience with UF policies and procedures for travel pcards voucher payments and requisitions journal entries deposits. Compliance invoicing record keeping account monitoring.
