This role is ideal for a self-starting operations professional who thrives in a fast-paced environment and wants to make a real impact by supporting high-level leadership across a dynamic multidisciplinary organization.
This position will be based in our Mississauga office.
Job Responsibilities:
- Assist and support management of the Energy & Resources team in business development administrative correspondence managing calendars priorities and follow-ups.
- Coordinate meetings of various committees customer and partner follow-ups by preparing schedules ensuring logistics and drafting minutes.
- Manage task tracking meeting notes and action item logs to ensure momentum on high-priority initiatives.
- Collaborate with other departments stakeholders and resources. Filter and manage incoming and outgoing communications respond to appropriate requests redirect messages and follow up with appropriate members.
- Keep documentation organized and easily accessible ensuring the accuracy meeting minutes and decisions taken.
- Write revise and edit documents reports proposals presentations and other materials required by management. Organize and maintain files and correspondence update databases and information management systems.
- Assist in the consolidation and reporting of monthly performance data (e.g. revenue utilization backlog) and develop dashboards and slide decks for internal and external reporting.
- Provide support with proposal preparation ensuring proper formatting and content organization.

- Support development of dashboards and slide decks for reporting to the C-suite and board-level stakeholders.
- Monitor key KPIs and flag variances requiring management review or intervention.
- Support the execution of national initiatives involving project delivery strategic partnerships and operational integration.
- People & Operations Support
- Coordinate onboarding training and other compliance and performance tasks for staff reporting into the VP.
- Liaise with HR Finance and other corporate functions to streamline processes as assigned by management
- Support travel planning conference attendance logistics and professional development activities for the management
Qualifications :
- A diploma or degree in Business Administration Project Management or a related field is preferred.
- At least 5 years of experience in administrative support project coordination or a related role. Experience in the construction engineering or project management industry is an asset.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Familiarity with Microsoft Dynamic 365 ERP and CRM applications is a plus.
- Strong focus on accuracy and quality control in document preparation and formatting.
- Excellent written and verbal communication skills for interacting with clients team members and vendors.
- Ability to manage multiple tasks prioritize effectively and meet deadlines in a fast-paced environment.
