Virtual Rockstar is hiring a dedicated and experienced Medical Virtual Assistant to support a mission-driven physical therapy practice based in Pennsylvania. This remote role is ideal for someone with a background in medical administration who is passionate about improving patient care and streamlining healthcare operations.

Responsibilities
Reception & Scheduling Support:
Answer and manage patient phone calls and email inquiries
Schedule new patient appointments and input data into the EMR system (WebPT)
Manage appointment calendars and send reminders
Handle appointment rescheduling cancellations and follow-ups
Maintain a waitlist and manage birthday and personalized communications
Patient Coordination:
Track and follow up on referrals and insurance verifications
Update and manage electronic medical records
Explain insurance benefits to patients
Monitor and report on Medicare thresholds and plan of care timelines
Administrative Support:
Coordinate internal and external communications via shared inboxes
Prepare reports and gather data for weekly leadership meetings
Track authorizations and manage documentation workflows
Assist with Google Ads performance analysis and reporting
Serve as liaison for the clinic s specialty programs (e.g. running program)
Tools and Platforms Used:
WebPT (EMR)
RingCentral (phone and messaging)
Egnyte (file sharing)
Google Workspace (Docs Sheets Gmail Calendar etc.)
Minimum 1 year of experience in a healthcare or medical virtual assistant role
Familiarity with EMR systems (WebPT experience preferred)
Strong verbal and written communication skills
High attention to detail and ability to work independently
Comfortable with confidential information; knowledge of HIPAA compliance is preferred
Tech-savvy and organized with excellent time management skills
