ALFA is hiring an Executive Assistant to support the administrative and organizational management of its operations.
RESPONSABILITES
- Manage billing track client payments and handle the receipt and processing of payments
- Answer phone calls welcome clients and provide general administrative support to ensure smooth office operations
- Organize update and file client records in a structured manner according to their status
- Handle administrative documents: receiving verifying scanning and digital filing
- Manage supplier invoices as well as the sending and receiving of postal documents
- Maintain various administrative tracking tools (billing projects file statuses etc.)
- Digitize and archive signed documents and ensure the compliance of files before closing or archiving
- Communicate with clients to collect missing information or documents and respond to their inquiries
- Schedule appointments follow up on files and provide logistical support to the team
Requirements
- Proficiency with common computer tools (MS Office Google Microsoft)
- Excellent written and verbal communication skills in French and English
- Ability to manage multiple tasks simultaneously with organization attention to detail and autonomy
- Independent and able to work with minimal supervision
- Good time management and ability to meet deadlines
- Quick learner with adaptability to new tools or procedures
- Ability to understand the structure of tax forms (an asset)
