GENERAL DESCRIPTION: As a Sales Coordinator you will play a vital role in supporting the sales team and ensuring smooth operations within the sales department. You will be responsible for managing administrative tasks coordinating sales activities and providing excellent customer service to clients. Your attention to detail organizational skills and ability to multitask will contribute to the overall success of the sales team and the company.
ESSENTIAL DUTIES/RESPONSIBILITIES/FUNCTIONS:
- Provide exceptional customer service by responding to inquiries and addressing customer concerns promptly and professionally.
- Process customer orders and respond to customer inquiries to resolve satisfactorily.
- Process all international purchase orders received via email.
- Handle customer inquiries regarding their product and orders. Direct them to appropriate resource as needed for resolution or assist them if able.
- Follow up with communication to customers to ensure all queries have been satisfactorily resolved.
- Prepare shipping documents for product shipments.
- Process Freight Quotations.
- Schedule customer shipments for shipping/receiving department.
- Obtain overseas documents from Chamber of Commerce as needed.
- Assist customers with documentation for customs clearance.
- Coordinate information between freight forwarders and shipping department
- Update distributor information on company website.
- Prepare sample requests as required by customer.
- Process RMAs as necessary.
- All other duties as assigned.
MARGINAL JOB FUNCTIONS:
- Support and back up International Client Relations Manager when traveling or out of office.
- Train domestic sales coordinator to handle international orders when not in office.
- Back up Domestic sales coordinator when out of office.
- Maintain regular and punctual attendance at work.
QUALIFICATIONS & SKILLS REQUIRED TO PERFORM JOB DUTIES:
- Demonstrated knowledge of customer service principles and outstanding customer service skills.
- Computer literacy in Microsoft Office programs and internet.
- Experience in IFS or other enterprise system.
- Order entry experience.
- Requires meticulous attention to detail in all tasks.
- Exceptional communication and interpersonal skills.
- Excellent organizational and time management skills.
- Ability to work independently and collaboratively in a team environment.
- Flexibility to adapt to changing priorities and deadlines.

EDUCATION AND/OR EXPERIENCE REQUIRED TO PERFORM JOB DUTIES:
- Associate’s Degree in business or a related field or equivalent work experience.
- Minimum of 3 previous experience in sales support customer service or administrative roles.
- Previous experience in sales administration preferred.
PHYSICAL REQUIREMENTS TO PERFORM JOB DUTIES:
- Sit/remain seated at a computer for up to 8 hours a day usually 4 hours at a time.
- Climb stairs walk/move throughout the building on a variety of surfaces including concrete tile wood and carpet.
- Work mostly indoors in a climate-controlled environment; walk outdoors in breezeways and parking garage as needed to move throughout the building.
- Stand/remain standing for several hours as needed.
- Use a telephone computer with dual monitors keyboard and mouse for up to 8 hours a day usually 4 hours at a time.
- Use general office equipment including copier fax scanner hole-punch etc. daily.
- Bend forward kneel stoop and/or squat occasionally.
- Turn and twist frequently.
- Reach down forward and overhead frequently.
- Lift and move boxes or items weighing up to 15 lbs.
