Duties and Responsibilities (*denotes essential functions):
1. *Functions as an assistant to the Commuter Services Office Supervisor who oversees the daily operations of the Commuter Services office.
2. *Assists the Commuter Services Office Supervisor in supervising staff and student employees assigned to the Commuter Services office
3. *Assists with the training of office staff and students.
4. *Assists with monitoring personnel to ensure they are following the approved methods of dealing with the public using proper phone etiquette providing accurate information proper handling of cash transactions and focusing on providing excellent customer service.
5. *Assists in the daily operations of the Commuter Services office which includes window services; permit/pass sales; citation payments; billing and collections; data entry and analysis; and providing parking information.
6. *Assists in overseeing all cash transactions in the Commuter Services office including reconciling all transactions at the end of the day preparing cash deposit including mail payments to daily transactions. Assists in investigating any discrepancies.
7. Provides administrative support for the citation appeals process which includes maintaining accurate records for the Appeals Officer.
8. *Responsible for reconciling monthly reports from DAGs related to employee salary deductions for parking permit payments. Investigates and reports any discrepancies to the Supervisor and assists in corrective action.
9. Responsible for controlling the inventory of all permits and passes. Maintain inventory logs for audit purposes.
10. Assists with the daily field operations of Commuter Services as related to gate operations; enforcement of parking regulations; traffic control; and cleanliness and safety of parking facilities.
11. Maintains a communication system between the main Commuter Services Office and the Commuter Services personnel in the field. Provides permit and vehicle information and relays directives from management as needed.
12. *Assists in overseeing the faculty/staff parking allocation process. Communicates with the allocations groups to answer questions related to procedures or concerns with the allocation process.
13. *Oversees the preparation of parking permit packets for the allocation groups. Ensures for the proper distribution of parking permits and that each packet is checked for accuracy.
14. *Assists with the students parking permit sales process. Oversees the setup operations and logistics of the distribution site for students parking permits prior to the semester.
15. Responsible for verifying the cost of parking permits passes fees and charges. Ensures parking information is readily available to all customers.
16. Acts on behalf of the Commuter Services Office Supervisor when so designated or when the supervisor is unavailable.
17. Works evenings weekends and/or holidays when needed.
18. Travels to various geographical locations for purposes of attending meetings trainings and other activities.
19. Other duties as assigned.
Minimum Qualifications
1. Possession of a baccalaureate degree in Business Administration Social Science Arts and Humanities Education or related field and 0 year(s) of progressively responsible professional experience with responsibilities for business administration; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
2. Functional knowledge of principles practices and techniques in business administration demonstrated by knowledge understanding and ability to apply concepts terminology.
3. Functional knowledge and understanding of principles theories federal and state laws rules regulations and systems associated with business administration.
4. Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of business administration.
5. Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.
7. Demonstrated ability to operate a personal computer and apply word processing software.
8. Ability to work outside the normal work hours including evenings weekends and/or holidays.
9. Ability to travel independently to various geographical locations in a timely manner. Requirement may be fulfilled by a valid Hawaii Drivers license (class 3 comparable drivers license or other means of transportation which meets position needs).
