Who Were Looking For:

Minimum Qualifications:

  1. Degree in Elementary Secondary or Special Education
  2. A minimum of three (3) years of experience in a district or school setting
  3. Demonstrated success in planning coordinating and collaborating with a variety of stakeholders
  4. Demonstrated success in meeting compliance and timeline expectations
  5. Knowledge and experience in managing grant-funded programs and related budgets (preferred)
  6. Demonstrated leadership experience in schools or central office including oversight of projects or professional development initiatives (preferred)
  7. Excellent organizational written communication and problem-solving/creative thinking skills.
  8. Performs other duties/tasks as assigned.

About the Role:

Why the role exists:

The Grant Specialist assists the Director of School Leadership and Federal Programs in effectively managing the three (3) phases of a grant cycle for local state and federal funds:

  • Pre-award/application
  • Project implementation monitoring and
  • Post-award review and completion reporting.

The specialist serves as a support for schools regarding monitoring data gathering training budget management and improvement planning for state and federally funded programs.

The specialist works under the direction of the Director of School Leadership and Federal Programs to create a seamless PreK-8th grade learning community. The specialist assists the Director in creating a climate of professional collaboration and sharing of best practices by establishing structures that foster shared learning information and resource exchanges.

Responsibilities & Deliverables:

The Grant Specialist will assist the Director of School Leadership and Federal Programs in their effort to evolve the way that learning experiences are designed by effectively utilizing grants and other out-of-district funding sources to positively impact student achievement. This role will be a liaison for the Director of School Leadership and Federal Programs to help them create a stronger district support structures to ensure grant-funding is used so that all students are achieving to their fullest potential.

The role will be responsible for proactively identifying information that has the potential to be impactful and elevate issues along with resolution options to the director in a timely manner. A key component of this is providing independent analysis and judgment in prioritizing situations needing attention taking steps to ensure projects move forward and tracking task progress through completion.

Central to the role will be coordinating and executing the following strategies to ensure that the Director of School Leadership and Federal Programs can meet or exceed our districts strategic plan goals while building on our rich traditions and our reputation with existing past and future stakeholders.

  1. Internal and external communications execution:
  • Supports the establishment of metrics and data collection methods for measuring effectiveness of grant funds leveraging them to drive continuous improvement.
  • Identifies and meets key partners to obtain input and to help influence decision-making and change in the organization. Builds strong relationships across the schools and departments and develops trusted and transparent relationships to create and implement solutions proactively and thoughtfully
  • Builds and maintains positive relationships through Private School consultations to ensure Equitable Services are provided as a requirement of the ESEA Consolidated grant (Title).
  • Provides required support to the participating in-district private schools to plan and develop Title I Title II and Title IV grant applications budgets and revisions.
  • Manages daily communication and required monthly meetings with private school partners.
  • Coordinates the annual Carryover Request process for private school services including required attempts to determine requests from schools documentation of funds available evidence of services/attempts provided documentation of LEAs support and communication and submission of Carryover Request packets.
  • Assists in preparations for external monitoring visits audits and program evaluations.
  • Conducts routine internal reviews of grant programs including on-site school visits.

  1. Strategic Planning and Project Management
  • Collaborates with the Director of School Leadership and Federal Programs and district stakeholders to ensure grant proposals and program initiatives are in alignment with the districts mission vision core values culture and strategic plan goals.
  • Assists in facilitating professional development and follow-up support on topics such as:
    • Grant policies/procedures (b) budgeting (c) purchase requisitions (d) travel reimbursement requests and (e) electronic personnel action requests (EPARs).
  • Demonstrates strong project management skills for organizing and maintaining documentation used for tracking and reporting purposes within each grant.
  • Coordinates with Title I schools to effectively plan required family involvement activities.
  • Completes required program evaluation of intervention services for each participating private school. Coordinates the required annual ADE monitoring of Equitable Services including program and fiscal review.
  • Monitors inspects and tracks inventory of non-consumable supplies purchased through grants and provided to private schools.
