Located at 600 NE 8th St Gresham OR we are a vital cornerstone in providing accessible comprehensive dental services to diverse and often underserved populations within Gresham and surrounding East County areas.
We are seeking a dynamic and compassionate individual to join our bustling dental clinic as a Office Assistant Senior. This role is crucial in ensuring seamless patient flow administrative excellence and a supportive environment for both our patients and our dedicated clinical team. Youll be at the forefront of our mission directly impacting the lives of those who need it most.
The responsibility of this Office Assistant Senior includes but is not limited to the following:
Administrative Superpowers
Compile analyze and distribute weekly/monthly performance reports (think: missing encounters unsigned notes denied claims access data outreach rostersyou name it).
Spot data gaps or red flags and work with the Dental Clinic Supervisor to retrain and recalibrate.
Manage and track employee schedules and time-off requests and assist in resolving payroll questions.
Keep tabs on staff attendance process sick leave reports and support all things HR like onboarding payroll forms and more.
Provide back-up at the front desk and help lead administrative team efforts to keep the clinic running smoothly.
Coordinate onboarding for new hires and transferswelcome to the team vibes guaranteed.
Under guidance from the Supervisor step up when theyre out to handle cash equivalents petty cash bus/cab vouchers and end-of-day reconciliation.
Scheduling Optimization
Be the schedule whispereroptimize and adjust provider schedules in collaboration with clinic leaders to keep productivity high and patient no-shows low.
Review daily appointment flows and help rework gaps to boost capacity.
Triage patient calls and get them booked into the right care at the right time.
Register new patients accurately and completely in our electronic health records system.
Break down dental program access policies and costs so patients know exactly what to expect.
Coordinate new patient scheduling across both Dental and Primary Care systems and help navigate complex or unique access situations.
Client Outreach Champion
Contact potential and existing patients assigned to our clinics who need a nudge to startor restarttheir care journey.
Coordinate with school and community oral health teams to ensure outreach translates into actual care.
Track your engagement efforts and outcomes in real time using spreadsheets or custom systems.
Train your coworkers in outreach systems and best practicesyour skills will scale.
Template Architect
Build and maintain provider scheduling templates that match clinic flow staffing and protocols.
Partner with Dental leadership to innovate and improve schedule design.
Monitor for unauthorized schedule changes and resolve with providers.
Research other high-performing programs to adapt best practices and boost efficiency while staying HIPAA-compliant.
Performance Improvement Partner
Work closely with providers to correct miscoded procedures and prevent claim denials.
Collaborate on PDSA cycles and pilot projects aimed at improving access streamlining care and enhancing the patient experience.
Contribute to team innovationjoin committees pitch ideas and support process improvement efforts tied to patient and provider feedback.
Customer Service All-Star
Deliver warm respectful and solution-oriented service at all times.
Provide backup coverage at the front desk to stay aligned with workflows and stay in touch with patient needs.
Evaluate front desk processes for privacy efficiency and comfortthen help make them better.
Minimum Qualifications:
Education/Training: Equivalent to completion of the twelfth grade with training and experience in advanced-level administrative support.
Experience: Three (3) to six (6) years of experience demonstrating the ability to perform the positions duties (or equivalent training/experience).
Preferred Qualifications/Transferable Skills: You do not need to have the following preferred qualifications/transferable skills to qualify. However keep in mind we may consider some or all of the following when identifying the most qualified candidates. Proficiency in Epic EHR software.
Experience interacting with children and youth.
