QUALIFICATIONS
High school diploma or equivalent (GED). Post-secondary secretarial training desirable.
Three (3) years experience performing general clerical or secretarial work. Applicable post secondary training may be accepted in lieu of experience.
Ability to consistently maintain a high level of confidentiality and discretion.
Demonstrated ability to work effectively with a diverse range of individuals and provide courteous professional assistance to the general public.
Capacity to act independently with regard to continuing assignments requiring the organization of materials handling of routine administrative details preparation of reports and sound decision-making.
Ability to use advanced features of Microsoft Word and Excel (i.e. merges tables sorting labels etc.) and thorough knowledge of Outlook Business Plus and X2.
Good organizational and self-starter skills with proven ability to prioritize tasks.
Strong proficiency in business English including proper spelling grammar and punctuation.
Ability to comprehend and follow oral and written instructions accurately.
Good attendance record
RESPONSIBILITIES
Receive and screen visitors to the office for scheduled appointments.
Type correspondence reports minutes lists forms memorandums etc.
Maintain files of correspondence forms reports etc. including confidential information.
Assist in answering overflow of incoming calls. Record and disseminate phone messages to appropriate staff members.
Assist in creating and submitting facilities work orders for the Department of Special Education.
Maintain accurate inventory records of equipment and licenses for the Department of Special Education.
Support Medicaid billing as assigned.
Assist in preparing documents for conferences meetings and professional development activities.
Schedule meetings conferences and appointments for supervisors and coordinators.
Perform related work as required.
