Job Description

Transportation Office Business Manager

REPORTS TO: Director of Transportation

QUALIFICATIONS: Experience in payroll purchasing billing and secretarial skills including the use of computers and various office equipment.

PERFORMANCE RESPONSIBILITIES:

  • All bookkeeping including ordering supplies and equipment credit card reconciliation entering credit card transactions and billing for field trips.
  • Generates purchase order requisitions and sends payments to vendors.
  • Handles all aspects of driver payroll including processing time sheets and reconciling timeclock for 75 employees at multiple sites.
  • Posts records and staffs state and district field trips including communicating approval forms to schools maintaining trip calendars making sure buses are fueled and ready for trips.
  • Prepares billing for state and district field trips.
  • Maintains personnel files on bus drivers including driver certifications and licenses DOT physical expiration dates drug screenings workers compensation forms
  • Completes outside forms (rent control assistance) for drivers when possible or forwarding to personnel for completion.
  • Completes accident reports state and district.
  • Processes pupil injury forms.
  • Answers the phone when the receptionist is not scheduled to work. Assists the caller with information or takes messages.
  • Assists the Director of Transportation with memos letters and other office
  • Assists the Director of Transportation with daily planning and meeting calendar.
  • Performs other duties as assigned by the Director of Transportation.
  • Works with others consistently in a cooperative and respectful manner.

TERMS:240 Days

EVALUATION: Performance of this job will be evaluated annually in compliance with the Boards policy on evaluation and professional personnel.
