The University of Nevada Las Vegas invites applications for Administrative Assistant II Medical Front Office UNLV Student Wellness Business and Insurance (ONSITE WORK) R0147532

ROLE of the POSITION

This Administrative Assistant II role is part of the Business Administrative and Technology Services (BAST) team within the UNLV Student Wellness Center (SWC). The BAST team supports the clinical teams and daily operations of the SWC front office. As a member of the front desk team this position provides direct service to students faculty and staff seeking care at the SWC. This position is essential in ensuring efficient front office operations and delivering high-quality service to all SWC clients. Responsibilities of this role include but are not limited to performing a variety of front office and administrative tasks in a mental health and medical setting:

Administrative Support Clinical Setting: Accurately manage clinical appointments. Format edit and produce complex materials such as presentations charts graphs medical/clinical instructional materials non-standard reports and other items using computer equipment and software; maintain complex databases and spreadsheets. Assist in all areas of SW with clerical and administrative support as needed upon request.

Operational Management Clinical Setting: Establish and maintain complex recordkeeping systems including indexed and cross-referenced materials considering confidentiality and accessibility of information; patient billing reconciliation reports eligibility reports and policies and procedures. Prepare and maintain inventory records.

Patient/Client Intake Interaction and Support Clinical Setting: Conduct daily opening procedures. Greet and assist individuals in a professional and compassionate manner. Provide accurate information about SWC and services. Manage check-in and check-out. Troubleshoot registration and check-in issues. Complete daily closing procedures.

Patient/Client Accounting Records and Protected Health Information: Complete annual compliance trainings. Accept and process payments and credit refunds. Accurately manage petty cash and resolve cash discrepancies. Prepare deposit logs and documents. Monitor credit card terminals. Assist with processing patient statements and address billing inquiries.

Data Management and Reporting Clinical Setting: Maintain accurate patient records in the electronic health record (EHR) system. Accurately scan information. Audit patient/client financial records. Gather relevant data and generate regular reports on clinic operations.

Patient/Client and Insurance Billing: Receive review and process billing documents including patient and insurance payments past due statements insurance claims and billing forms. Maintain financial records track patient account balances. Post insurance payments. Audit daily claims. Assist in the development and implementation of billing procedures

MINIMUM QUALIFICATIONS

PER EXECUTIVE ORDER 2024-007 ALL MINIMUM QUALIFICATIONS HAVE BEEN WAIVED FOR THIS POSITION UNTIL JUNE 30TH 2025. Please refer to the link for more information: from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.

PREFERRED QUALIFICATIONS

Previous experience working in a medical or mental health facility.

Understanding of health insurance and HIPAA regulations.

Proficiency in Microsoft Office Suite (Excel Word Outlook). Strong working knowledge of Microsoft Excel including spreadsheets formulas and basic reporting.

Proficiency with Google Workspace (Gmail Docs Sheets Calendar)

SALARY

Grade 25 Step 1 salary 42636.96. Step means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170) salaries for initial appointments for classified positions typically begin at Step 1.
