Assists in ensuring all productions meet eligibility requirements for CFC film incentive cash rebate program.
Responsible for clerical tasks supporting leadership and others with meeting preparation follow-up and action items and overseeing administrative processes to enhance team productivity.
Provides essential administrative support for CFC including maintaining and organizing calendars meetings and daily operations.
Ensures internal and external department correspondence and project management tools are consistently updated and maintained.
Records and manages meeting minutes and agendas as needed.
Orders and tracks office supply needs.
Assists in ensuring timely approvals for newsletters and other communications.
Provides support in meeting all needs for sponsorship workshops events and/or meetings.
Meets weekly with leadership to ensure weekly priorities are well-communicated and maintained.
Assists in ensuring film-friendly initiatives and ReelScout needs are met.
Coordinates all aspects of leadership meetings ensuring necessary orders presentations and technology needs are managed.
Ensure timely booking of all CFC travel needs including airline flights hotel accommodation rental cars and reservations while ensuring cost-effectiveness and optimal locations.
Maintain awareness of key industry conferences and/or industry spaces.
Assist with any FAM tour needs as needed.
No supervisory/management authority.
Work may be performed in a variety of settings including climate-controlled office settings and/or outdoors in all types of weather.
Work may require extended periods of sitting walking or standing.
Work requires lifting and carrying objects up to 25 lbs.
Work may require varied shifts including weekends and holidays as needed.
Work may require travel including overnight stays.
Performs other job-related duties as assigned.
Associates degree in a relevant field of study and two (2) to three (3) years of administrative office experience or an equivalent combination of education and experience.
Bachelors degree in a relevant field of study preferred.
Project management software experience preferred.
Advanced knowledge of Microsoft Office products.
Working knowledge of MacBook computer systems and software.
Excellent writing and communication skills to ensure effective workflow and customer service.
Excellent organizational and attention to detail skills including the ability to prioritize tasks to work independently on multiple projects and meet strict deadlines.
Ability to proactively and creatively solve problems.
Ability to pay close attention to detail have a reliable work ethic and a professional appearance.
Ability and willingness to understand and learn film industry language and standards of communication.
Ability to work in diverse cultural environments and within Native American-led community spaces.
Ability to work under pressure.
Ability to maintain the highest level of professionalism while directly dealing with staff clients and the public at all levels.
Must have and maintain a valid drivers license.
