Administrative Assistant

Job Title:Administrative Assistant - Tennis & Pickleball

Department: Tennis & Pickleball

Reports to: Tennis & Pickleball Director

Classification: Non-exempt part time

Job Grade: 5

Hours:25-30 hours Monday Friday Noon to 5:30 p.m.

Position Summary

This position supports the work of the Y a leading nonprofit charitable organization committed to strengthening community through youth development healthy living and social responsibility. The Administrative Assistant - Tennis & Pickleball at the Eugene Family YMCA intentionally fosters a cause-centered culture that is welcoming genuine hopeful nurturing and determined while also coordinating high-quality member-focused tennis and pickleball programs.

Essential Functions

  • Assists the Tennis & Pickleball Director to effectively run tennis & pickleball Programs

  • Encourages tennis and pickleball program participation and handles registrations and rosters. Assists in sending out tennis & pickleball registration confirmations.

  • Manages Court Reserve the tennis & pickleball court reservation and registration system by ensuring programs are properly built for members managing membership troubleshooting backend issues and suggesting app updates; assists in training other staff on the CourtReserve system

  • Builds out new schedules in Court Reserve and ensures the information is properly reflected on the Website

  • Trains new staff on basics of Court Reserve to help members reserve courts and programs.

  • Manages inventory and orders supplies for tennis & pickleball programs such as balls rackets paddles and strings.

  • Manages cash box daily deposits change-needs and day of sale procedures

  • Maintains increased permission access in the Ys membership database Daxko to ensure smooth membership and program assistance

  • Monitors and responds to tennis & pickleball private lesson requests and works with Private Lesson Instructors to assign lessons

  • Assists in sending out tennis & pickleball lesson surveys to participants and reviews feedback with the Tennis & Pickleball Director

  • Ensures necessary paperwork is completed for participants

  • Follows up with families and/or the Tennis & Pickleball Director to ensure payments are received and private lesson policies are followed

  • Assists Tennis & Pickleball Director with Private Lesson Instructor payroll entry as needed

  • Assists Tennis & Pickleball Director with Administrative tasks

  • Must be attentive to details be able to work with and meet deadlines take initiative to develop and provide information and controls necessary for efficient operations

  • Coordinates and communicates well with Y staff members and program activities to ensure building is operating smoothly

  • Must be able to multitask take initiative in making decisions and solving problems in the areas of assigned responsibility and in the best interest of the Y

  • With supervisor guidance administers Tennis & Pickleball operations and rules setting precedent within limits

  • Uses professional judgment to troubleshoot problems in Tennis & Pickleball Center selecting solutions from multiple known alternatives

  • Frequently interacts with individual members to provide detailed procedural explanations or technical responses and occasionally outlines basic agreements.

  • Ensures necessary paperwork is completed for participants

  • Obtains and maintains all current YMCA-required trainings (within 90 days of hire date.

  • Other duties as assigned

  • Specific vision abilities required by this job include close vision distance vision and the ability to adjust.

  • The noise level in the work environment is usually moderate to high.

  • Sufficient strength agility and mobility to perform essential functions of position and to supervise program activities.
