Job Description

He aha te tranga - About the role: 

Our Customer Experience and Marketing department is responsible for designing and delivering best practice brand marketing and customer experiences. This encompasses our Brand & Marketing Customer & Digital Experience Design Digital Marketing Corporate Partnerships and Customer Service Centre teams. 

This role provides high-level administrative support to the General Manager of Customer Experience & Marketing ensuring the smooth operation of the team and executive function. It plays a key part in managing the GMs time and priorities coordinating internal and external communications and supporting the delivery of team activities reporting and projects.

  • Provide day-to-day administrative support to the GM including email and calendar management. 
  • Act as first point of contact for the wider team providing information and support where possible and escalating as required. 
  • Coordinate meetings events workshops and training including agenda prep minute-taking and follow-ups.
  • Manage travel bookings and logistics for the GM and broader CX & Marketing team.
  • Prepare reports presentations correspondence and assist with departmental projects as needed.
  • Monitor and manage purchase orders and invoices to support timely financial processes.
  • Build and maintain strong relationships across internal and external stakeholders while ensuring confidentiality.

This is a permanent part-time position working 20 hours per week preferably spread across 5 days. Based at our Auckland offices in Ellerslie and Mt Wellington hybrid working arrangements are available once confident in the role.

  • Proven senior-level administrative experience supporting executive leadership in dynamic environments.
  • Strong diary and calendar management skills with the ability to prioritise and schedule effectively.
  • Confident communicator with excellent written and verbal skills capable of engaging professionally with internal and external stakeholders.
  • Ability to work collaboratively across teams while also being self-motivated and capable of working independently.
  • Exceptional organisational and time management skills with strong attention to detail.
  • Experience preparing high-quality reports presentations and correspondence.
  • Confidence to act on behalf of the General Manager ensuring their time and focus is optimally allocated by filtering requests and redirecting issues where appropriate.
  • Understanding of Te Tiriti o Waitangi and its relevance within health and community settings.
