Catholic Charities of Baltimore is currently seeking an Administrative Assistant who directly support the work of the Residential and Clinical Services Department Team members to include the Associate Administrator Director of Residential Services Program Directors Unit Managers and Unit Therapists. Primary responsibilities to include clerical tasks; coordination and scheduling of meetings; documentation and distribution of meeting minutes and other duties as assigned. Applicants must be highly organized demonstrate exceptional verbal and written communication have a demonstrated ability to multi-task and strong computer skills with knowledge and demonstrated competency with Microsoft Outlook Word Teams Excel Adobe Pro and virtual platforms such as Zoom and Microsoft Teams.
St. Vincents Villa provides comprehensive residential treatment for children ages 5-13 whose behavioral and emotional needs have not responded to community-based interventions and services.
Schedule: Monday -Friday 8:00-4:00pm
JOB DUTIES & RESPONSIBILITIES:
- Answers and transfers phone calls screening when necessary.
- Welcomes and directs visitors volunteers and clients.
- Retrieves information as requested from records email minutes and other related documents; prepares written summaries of data and/or statistics when needed.
- Coordinates and schedules travel meetings and appointments for managers or supervisors.
- Prepares schedules and agendas for meetings.
- Schedules coordinates and tracks required trainings for managers and their staff.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Maintains a system for recording expenses and the use of petty cash prepares and processes invoices check requests field expense vouchers etc.
EDUCATION & EXPERIENCE REQUIREMENTS:
- High school diploma or GED.
- Four years of experience in an administrative role or equivalent combination of education and experience.
REQUIRMENTS & ABILITIES:
- Solid grasp of clerical procedures and systems such as managing Outlook calendar email and recordkeeping.
- Excellent verbal and written communication skills.
- Excellent relational and customer service skills.
- Excellent organizational skills and attention to detail.
- Ability to work with minimal direction or supervision.
- Ability to act with discretion tact and professionalism in all situations.
- Hearing and vision abilities within normal range (corrected) to observe and communicate with others.
- Requires the ability to utilize computer systems and software necessary to perform position functions. Basic Windows PC web browsing (i.e. Chrome Internet Explorer etc.) and Microsoft Outlook skills required. Other Microsoft Office application knowledge such as Word Excel PowerPoint Skype and OneDrive desired.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:
- Sedentary work that primarily involves sitting/standing.
- Light work that includes moving objects up to 20 pounds.
- Moving about to accomplish tasks or moving from one work site to another.
