A day in the life of a Sales Coordinator at the Hilton Garden Inn Austin University Capitol District has you involved in a variety of tasks and working with a number of team members and customers. While everyday has a routine no two here are ever quite the same.

Essential Job Functions:
Providing Administrative Support to the Sales & Catering Team
- Responds to telephone inquiries and email inquiries (direct line and sales line). Gathers needed information from customer regarding their guest room block and events.
- Serve as a lead catcher for group catering and BT leads and qualifying with inquiry form
- Create proposals utilizing eProposal Tool Cvent and any other applicable lead sources
- Draft contracts with sales managers final approval
- Assistance in running daily/weekly/month reports based on needs of the property (i.e. daily function report BEO report Funnel report GRC etc.)
- Prepare client files and checklists for all files/events
- Assist with client appreciation giftsincentive gifts sales calls sales blitzes and client thank yous
- Assist with in-house amenities for VIP and notable guests
- Manage Sales Collateral including sales kits fact sheets etc.
- Conducts client Site Tours (occasionally when needed)
- Print and distribute breakfast vouchers
- Assign Hilton Reward Points for all actualized groups.
- File all event folders upon completion of the group.
- Managing and entering rooming lists including setting up appropriate billing
- Complete and distribute group resumes to all departments
- Blocking space for any internal / in-house events
- Complete pick-up and calculations of commissions rebates and subsidies
- Other duties and/or responsibilities as assigned by supervisors or management
SKILLS
- Organization Strong organizational skills including time management and the ability to prioritize projects.
- Efficiency Ability to complete projects quickly and accurately in the order that they need to be completed.
- Attention to Detail Strong focus on being accurate and precise in the completion of all tasks with a minimal number of mistakes or oversights.

- Writing- Communicating effectively and accurately in writing as appropriate for the needs of the audience.

- Computer Skills- Using computer systems and software (e.g. Microsoft Word Excel Delphi etc.).
- Professional Demeanor Exhibiting behavior styles that convey confidence and command respect from others; making a good first impression and representing Hilton and HHM in alignment with its values.
- Event Planning The ability to connect with customers manage multiple customers at a given time be detailed oriented understand and have a working knowledge of sales and event management systems.
Supervisory Duties:
- None (will provide feedback upon request)
Work Environment and Context:
- Work schedule varies and may include working on holidays and weekends.
- Requires standing for extended periods walking pushing lifting up to 25 pounds bending and reaching stooping kneeling or crouching.
